Freelance In-Person Event Specialist - Weston, Florida
Visit.org is looking for an experienced, responsible, and driven Freelance Event Specialist, Weston, FL to help us manage the logistics of an upcoming in-person event. The right candidate will be based in Weston, FL, have corporate event experience, entrepreneurial spirit, passion for our mission, and the energy and discipline to build in a start-up tech environment.
Overview Visit.org helps companies discover and book thousands of carefully curated social impact team experiences, led by and benefiting local nonprofits. With a library of team-based experiences across 90+ countries, Visit.org provides HR, CSR, and Meetings & Events leaders scalable, culturally appropriate content for purpose-driven employee and client engagement.
Responsibilities
Coordinate all event details, ship event materials, and arrange staffing for each event; be on-site to manage the event as our day-of hands-on coordinator for engaging, team-building activities that support a great cause.
Participate in virtual planning meetings ahead of each event with corporate partners, nonprofit partners, Visit.org hosts, and coordinators.
Own the on-site experience: set up, align with the on-site team, tear down, clean areas, solve problems, and ensure a high-quality customer experience.
Serve as Visit.org representative, leader, and problem solver at events.
Coordinate roles and responsibilities with the onsite team, including event host, nonprofit organization, venue, staff, and corporate partner.
Manage check-in and provide a warm, friendly welcome to guests.
Address issues such as missing supplies, late staff, and technology challenges; escalate to the Events Team when needed.
Provide updates, photos, and videos to Events Team during the event.
Assist with breakdown after the event and repackage/ship materials back to the distribution center.
Pack supplies and print shipping labels as required.
Requirements
Fluency in English and strong communication skills
Based in Weston, FL
Schedule flexibility to work per-event contracts as needed
Experience in complex, large-scale events and smaller executive-level events
Proven ability to execute events at a high level and continually improve the customer experience
Resourceful, composed under pressure, and solution-minded in ambiguous situations
Quick thinker with backup plans and strong problem-solving on the fly
Self-starter, organized, and detail-oriented
Strong relationship-building and customer service skills
Experience with group facilitation and managing group dynamics
Ability to work flexible hours, including nights and weekends
Willingness to travel within the local region
Interpersonal and customer service skills suited for fast-paced environments
Comfort wearing many hats and taking on varied tasks
Comfort being present and interacting with large crowds
Physical Demands
Able to lift, slide, and carry up to 30 lbs
Able to stand for extended periods
This is an on-location, in-person, per-event contract role in Weston, FL. This role is open only to candidates already based in Weston, FL. No relocation packages are offered at this time.
