Role Overview

Join a company where precision, safety, and teamwork drive every shipment. As a Shipping Clerk at Spectrum Chemical, you’ll play an important role in supporting our On Time Delivery (OTD) goals by ensuring that every chemical and laboratory supply order is picked, packaged, and shipped accurately and efficiently. You’ll work hands-on in a fast-paced, regulated environment, collaborating with cross-functional teams to help deliver quality products to customers worldwide—on time and in full.

Key Responsibilities

Support the Shipping Department to efficiently pick, package, and process chemical and laboratory supply orders in accordance with customer requirements, company SOPs, and all applicable federal, state, and international shipping regulations (including ICAO/IATA, DOT, and IMDG).

Accurately pick materials from designated inventory locations using RFGEN scanners and verify product, lot, and quantity through the company’s ERP system (Oracle).

Inspect shipments to confirm they meet all freight, documentation, and regulatory requirements, including:

Proper hazardous material labels and placards

DOT poison and limited quantity markings

“To Be Refrigerated” and other special handling labels

Verification of UN numbers, package counts, and packing slips

Inclusion of any required documentation such as DOT poison letters or export forms

Documentation & Compliance

Prepare, review, and release shipping documents (e.g., BOLs, commercial invoices, export declarations, hazmat certifications) to ensure all chemical and lab supply orders are compliant and properly supported for domestic and international delivery.

Maintain awareness of and compliance with GHS labeling, hazardous communication, and Quality Management System (QMS) requirements.

Serve as a first line of defense for inspection readiness, ensuring shipping logs, records, and packaging documentation are audit-ready at all times.

Coordination & Communication

Collaborate daily with Customer Service, Inventory Control, Distribution, Receiving, and Packing teams to ensure smooth flow of chemical and laboratory supply materials and timely fulfillment.

Utilize Outlook & Microsoft Teams to communicate order updates, elevate shipping issues, and respond to internal and customer-related inquiries.

Notify the Shipping Supervisor or Distribution Manager of any discrepancies, damaged goods, or documentation concerns before release.

Safely operate pallet jacks, carts, and other material-handling equipment to stage, load, and prepare chemical and lab supply shipments for delivery.

For palletized shipments, ensure goods are securely shrink-wrapped, labeled, and staged in designated areas prior to carrier pick-up.

Support Will Call, rush, or same-day delivery orders as needed, coordinating closely with the Shipping Supervisor for prioritization.

Inventory & Supplies

Partner with the Inventory Control team to monitor and maintain packaging material levels, reporting shortages or reorder needs promptly.

Assist in periodic cycle counts and audits to verify packaging supply accuracy and availability.

Safety & Continuous Improvement

Adhere strictly to all company safety policies, PPE requirements, and OSHA/DOT regulations.

Participate in ongoing training, certification, and refresher courses related to hazardous shipping, safety, and quality systems.

Contribute ideas to improve warehouse flow, reduce waste, and enhance overall efficiency within the Shipping Department.

Training/Certifications/On-The-Job Requirements

DOT, IATA, IMDG certifications (required or obtained after hire)

RCRA and HAZWOPER training (required or obtained after hire)

Experience with Oracle ERP and Microsoft Office Suite preferred

Strong understanding of warehouse safety and compliance standards

Must be able to lift and move up to 50 lbs. daily

2+ years’ experience in warehouse operations preferred

Education and/or Experience

High School diploma or equivalent

1- 2 years related experience or training preferred

Previous Experience and/or permit for operation of forklifts preferred

Proficient with Microsoft Office Suite preferred

Experience with Oracle is highly preferred

Spectrum facilities operate Monday through Friday and are usually closed on weekends (unless otherwise specified).

The Shipping department shifts may vary with shifts starting as early as 7 am (as needed) and often working past 6:00 pm. Overtime may be required during business peaks.

Active warehouse setting with frequent interface with dock operations and QA/Inventory teams.

Fast-paced, physical warehouse setting with regular exposure to forklifts, docks, and inbound freight.

Flexibility in schedule and willingness to work extended hours during peak periods is required.
