Position Overview Global Impact Group LLC, doing business as
Global Language System (GLS) , is seeking a highly organized and detail-oriented
Scheduling Coordinator & Administrative Assistant
to support daily operations. This role is critical to ensuring smooth scheduling of language services, administrative efficiency, and accurate bookkeeping support. The ideal candidate has
experience in the language services industry , strong scheduling coordination skills, and a working background in
administrative support and bookkeeping . This is an
onsite position
and requires consistent presence at our Raleigh office.
Key Responsibilities Scheduling & Coordination
Coordinate and schedule interpreters and language professionals for onsite, telephonic, and video assignments
Communicate with clients, linguists, and internal teams to confirm appointments and resolve scheduling conflicts
Monitor service requests, coverage, cancellations, and last‑minute changes
Maintain accurate scheduling records in company systems
Ensure compliance with client requirements, certifications, and service standards
Administrative Support
Provide general administrative assistance to operations, project management, and leadership teams
Prepare reports, correspondence, and internal documentation
Maintain organized digital and physical filing systems
Support onboarding documentation for linguists and vendors
Assist with invoice tracking, documentation, and internal controls
Support basic bookkeeping functions, including:
Invoice review and tracking
Expense documentation
Timesheet verification
Coordination with accounting and payroll teams
Ensure accurate record‑keeping and timely submission of financial documents
Required Qualifications
Minimum 2–3 years of experience
in scheduling coordination and administrative support
Experience in the language services industry
(interpretation, translation, or related services) required
Background or working knowledge in
bookkeeping or accounting support
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Proficiency with scheduling systems, databases, and Microsoft Office / Google Workspace
Ability to work
onsite
and collaborate with cross‑functional teams
Preferred Qualifications
Bilingual or multilingual
(Spanish, French, or other languages a strong plus)
Experience working with interpreter scheduling platforms
Familiarity with HIPAA‑compliant environments or government contracts
Experience supporting ISO‑certified organizations (ISO 9001 / ISO 17100 a plus)
Onsite office setting
