Overview
Administrative Assistant 1 to support operations at Ricketts Glen State Park. This role encompasses essential administrative tasks, including managing purchasing processes, overseeing personnel matters, serving as a timekeeper, and conducting budget and fiscal analysis. The position also involves handling revenue deposits and transmittals, ensuring that all financial transactions are accurately processed. Candidates should be able to interpret and apply policies and procedures set forth by the Commonwealth, Department, and Bureau, particularly in budgeting, fiscal management, personnel, and purchasing. Responsibilities
Manage budgetary tasks, including analyzing financial data and offering recommendations for fiscal and mid-year budget preparations. Compile historical and projected financial figures to assist in the development of the park’s fiscal budget; oversee and track expenditures for the park’s operating budget (materials, personnel, and special projects). Input data into the park’s fiscal program, reconcile P-card statements, and ensure SAP reports align with the budget. Prepare monthly reports for the Park Manager detailing ongoing expenditure balances and alert the manager to issues requiring budget adjustments. Support timekeeping and personnel management: assist in hiring for vacant positions, prepare hiring documentation, handle notices related to LWOP for seasonal employees, and maintain accurate time and attendance records in SAP CAT screens. Monitor leave usage to ensure compliance with union contracts and personnel regulations; assist with payroll input into SAP and understand three union contracts (regular hours, overtime, shift overlaps, shift differentials). Maintain employee personnel files per Commonwealth procedures and forward salary and wage documents to the Region for scanning into the Electronic Official Personnel Folder (E-OPF). Procure materials and services for the park per Commonwealth purchasing guidelines; advise staff on purchasing procedures and generate purchase orders (SAP), bids, or local purchases as appropriate; prepare informal quotes and bid documents and notify the lowest bidder. Full-time employment Shift and schedule can vary to meet the operational needs of a 7 day/week facility. Telework is not available for this position.
