Administrative Assistant Join our dynamic school district team as an Administrative Assistant at the district office. In this crucial role you will provide comprehensive administrative support to ensure the smooth operation of district-wide functions, aligning with our district’s equity commitments as expressed in Board Policy 7:12: Ensuring Racial and Educational Equity.

Essential Duties and Responsibilities

Provide assistance to families, staff, and administrators by coordinating a wide variety of projects, functions, and/or program components.

Maintain manual and electronic document files and records (budget data, employee records, financial records, reports, etc.) to provide up-to-date information and historical reference in accordance with established administrative guidelines and legal requirements.

Monitor various activities on behalf of assigned Administrator(s) (e.g., program components, meeting arrangements, account balances, work order status, etc.) to achieve goals and meet target dates in compliance with established guidelines and regulatory requirements.

Participate in meetings, workshops, and trainings, recording minutes and supporting attendee needs.

Prepare a wide variety of processes, documents, and reports, confidential and non‑confidential in nature, to document activities and convey information.

Present information on administrative procedures (department/program policies, submission procedures, etc.) to orient new personnel and disseminate information to existing staff.

Procure supplies and materials to maintain availability of required items.

Enter, gather, and perform data analysis involving student information.

Coordinate with school staff regarding state and federal grants, district initiatives, and programs.

Answer phone calls and provide assistance to parents and school staff.

Create written district communications.

Assist with the creation and maintenance of various state and federal reports and grants.

Perform other duties as assigned by administration.

Candidate Qualifications

High School Diploma or equivalent (required).

Previous administrative experience (required).

Proficiency in Microsoft Word, Excel, and PowerPoint.

Proficiency in Google Suite (Docs, forms, and sheets).

Previous experience with Illinois State Board of Education data collection systems and reporting (preferred).
