Job Title Administrative Support Assistant II
Minimum Requirements High school diploma or equivalent and four years of relevant experience.
Job Description (Responsibilities)
Performs confidential, routine and non‑routine administrative duties including reception services.
Schedules appointments, meetings, and travel; maintains various calendars.
Prepares and proofreads correspondence, reports, and other documents.
Organizes and maintains paper and electronic filing systems.
Initiates recurring administrative processes such as updating personnel information.
Coordinates projects and assists in completion of reports by researching and gathering required information.
Attends meetings to take notes, produce meeting minutes and follow up assignments.
Maintains complex system of files and records, both physical and electronic.
Performs data entry, collects requested data and materials, routes and tracks requests for signature.
Supports purchasing requirements for department: researching items, obtaining price quotes, entering information into university systems, receiving purchase orders, and maintaining P‑Card information.
Updates, scans and purges office files and archives as directed.
Assists with employment processes: prepares position authorization forms, personnel action forms, monitors approvals, maintains credential files, prepares master files for search committees, assists in scheduling interviews, prepares correspondence, enters data into applicant database, and assists with onboarding new employees.
Maintains office mail, department work orders, equipment inventory in Asset Management and in computer/mobile device tracking system, and vehicle inventory.
Compiles data, conducts research, performs independent analysis, and formulates recommendations on administrative matters.
Answers and directs phone calls, takes messages, fields routine and non‑routine questions, serves as unit contact and liaison to the public and other university departments.
Prepares and maintains files for compliance reporting.
Qualifications
High school diploma or equivalent and four years of relevant experience.
Ability to properly handle confidential personnel information.
Strong organizational skills, ability to meet deadlines, work independently and problem‑solving capabilities.
Excellent written and verbal communication skills.
Ability to work independently and cooperatively as part of a team.
Extensive word processing, spreadsheet development, database and computer skills.
Proficiency in Windows, MS Word, MS Excel, MS Outlook, MS PowerPoint; Internet Explorer and database software strongly preferred.
Accuracy, attention to detail and customer service‑oriented attitude.
Additional Information
Class E Driver’s License is required.
Normal work schedule: Monday – Friday 8:00 AM – 5:00 PM.
Criminal background check will be conducted.
Expected salary: $19.00 hourly based on experience.
