Location and Work Hours Located in West Nyack, NY, this position provides HR administrative support to the Human Resources department at the Eastern Territorial Headquarters (THQ). The role assists employees with HR‑related questions and various HR administrative duties. This is a 35‑hour per week onsite position.
Pay Range $34.06/hr - $36.81/hr (actual pay based on skills and experience).
Responsibilities
Assist employees with HR‑related questions, providing appropriate information and forms (healthcare, policies, pension, workers compensation, etc.).
Maintain data in the UKG HRIS system, entering changes accurately and running basic confirmation reports; collaborate with Payroll for information.
Input required data into company databases for tracking and processing (job requisitions, benefits enrollment, compliance training, loan forgiveness, employee registries).
Set up meetings, interviews, webinars; archive recordings and presentations.
Coordinate with third‑party vendors to ensure accurate benefit enrollments and status changes.
Create and maintain HR forms, templates, and communications using Microsoft Forms, Word, and PowerPoint; update THQ org chart in Visio.
Conduct reference checks; prepare new hire packets and paperwork.
Prepare communications and correspondences including offer and separation letters.
Design and administer surveys; update as needed and provide feedback responses.
Research inquiries regarding current and terminated employees; forward correspondences to the appropriate HR division/location.
Coordinate lunch coupons, bereavement and special occasion gifts, first aid/CPR training, service days, retirement plaques, service awards and pin inventory, and food drives.
Type and post bulletins regarding employee hospitalization, bereavement, birth of child, etc.
Assist with employee events—BBQs and Employee Recognition.
Maintain personnel files timely, follow THQ retention schedule, and perform periodic archiving.
Purchase office supplies and equipment; arrange payment of invoices; code invoices to appropriate accounts; research unusual charges as directed.
Process business expenses for reimbursements via Smart Data.
Retrieve and distribute mail for departmental personnel.
Perform general clerical duties (filing, copying, mailing, faxing, shredding).
Maintain a high degree of confidentiality.
Other duties as requested.
Qualifications
Associate’s degree or equivalent from a two‑year college or technical school.
5–7 years of related HR experience.
Education and/or experience in Human Resources.
Firsthand experience with an HRIS, Payroll, and time & attendance preferred.
Proficient in Microsoft PowerPoint and Excel; skilled in Microsoft Forms and Word.
Strong organizational skills and attention to detail.
Confidential, discreet, and professional at all times.
Strong interpersonal and customer‑service skills.
Enjoys learning new HR topics and software skills.
