Generate, monitor, and close repair orders with accuracy, ensuring all documentation, service tracking, and supporting records are complete. Coordinate service appointments, repair estimates, authorizations, customer communications, and complaint resolution. Provide timely updates to drivers on repair status and assist with identifying service needs in a professional and courteous manner. Monitor repair progress, collaborate with shop management, and resolve delays or issues related to parts or repair orders. Issue correct tractor and trailer parts to technicians, recording all transactions to the appropriate repair orders. Order required parts from approved vendors when not available in stock and ensure timely procurement and delivery. Receive, stock, and organize incoming parts shipments, maintaining a clean and orderly warehouse and office environment. Maintain up-to-date service files, technical bulletins, and department records for shop reference. Provide phone and office coverage, assist with department files, and ensure continuous workflow support. Collaborate with supervisors and managers to troubleshoot service or parts concerns and follow directives in their absence. Perform additional duties as assigned to support overall service and parts operations. Collaborate in-person with all levels of the organization to harness collective intelligence of the workforce. Attend all in-person meetings and trainings on recent developments, goals, and objectives. Participate in such discussions by offering input and advice. Regularly engage remotely and in-person with customers and potential customers to establish rapport, open communication, and expectations. Perform other duties as assigned. What We’re Looking For
Education High school diploma or GED equivalent required Experience 1+ year in a similar service coordinator position required Experience in parts management or related shop support role preferred · Transportation, Logistics, and/or Tech industry experience a plus Skills & Abilities
Strong organizational skills with keen attention to detail Excellent communication and customer service skills Ability to multitask and work effectively in a fast-paced environment Basic computer skills for order entry, recordkeeping, and inventory management Ability to read and comprehend English instructions and information Adept at assessing organizational dynamics and managing change Works quickly and efficiently. Able to test solutions, learn, and iterate quickly Proactive and pragmatic problem solver Communicates effectively across multiple mediums Physical Requirements
Physical Requirements:
while performing the duties of this job the employee is regularly required to talk or hear; frequently stands, walks, uses hands to finger, handle or feel; and reaches with hands and arms. Ability to stand for long periods of time supporting full body weight Ability to walk 1000 feet minimum and change positions frequently Ability to frequently move shoulders with full range of motion in all six planes of movement Ability to reach heights over 72” frequently; ability to crouch to height of 18” frequently Ability to reach and stretch across the midline with full cervical range of motion and bilateral range of motion Ability to use hand tools constantly for extended periods of time Ability to stoop to 30” minimum and kneel to 18” minimum Ability to frequently climb 51’ with one 24” step and pull full body weight. Ability to frequently climb stairs 24” without a hand hold rail. Ability to pull self up ladder with 4x17”steps with upper body pull. Ability to constantly go in/out of truck on 51” and one 24” step pulling full body weight. Ability to frequently go up and down ramp. Ability to occasionally push 250 lbs, pull 125 lbs, frequently push/pull 100/50 lbs and constantly push/pull 50/25 lbs. Ability to occasionally carry, lift overhead, high, low and medium lift 51/75 lbs, frequently 50/21 lbs and constantly 20/1 lbs. *Must be able to perform all physical requirements with reasonable accommodation.
