The ideal candidate is a motivated, detail‑oriented, and creative problem‑solver who can provide high‑quality, high‑touch administrative support to Financial Advisors, their prospective and existing clients, and other branch staff professionals. Excellent communication skills are required across multiple platforms (phone, email, in‑person, virtual). The candidate must be able to organize, manage, and track multiple detailed tasks and assignments with frequently changing priorities and deadlines in a fast‑paced, task‑oriented environment.
Responsibilities
Serves as first point of contact to handle high volumes of daily interactions, including inquiries, quotes, and scheduling of meetings with prospective and existing clients via phone, in‑person, virtual, and mailings.
Works independently and within a dynamic team environment to provide crucial support to the financial advisors and branch office.
Onboards new clients, opens new client accounts, and researches client and security information using internal databases and other technologies.
Ensures key client information and documentation is current with firm and industry requirements, rules, and regulations.
Processes and monitors the transfer of assets to ensure all assets and cost basis are successfully received.
Monitors available cash awaiting investment, including running weekly cash and cash‑equivalent reports and contacting clients with investment opportunities.
Reviews, assesses, and responds to all corporate action items and client account alerts.
Prepares financial reports, spreadsheets, and other materials for client meetings.
Inputs orders and rebalances portfolios on behalf of the Financial Advisors.
Creates and maintains records and files using Client Relationship Management (CRM) software.
Assists Financial Advisors with marketing efforts, including seminars and other client‑facing events.
Engages in training, cross‑training, and professional development opportunities to remain current on firm and industry policies and procedures.
Performs other duties and responsibilities as assigned.
Skills and Qualifications
Understanding of company structure, policies, mission, and strategies.
Experience with managed account platforms and general office practices.
Knowledge of investment concepts, practices, and securities industry regulations.
Familiarity with financial markets, products, and regulatory environment.
Trading terminology and experience with CRM or similar contact management software.
Proficiency in Excel, including developing spreadsheets for reporting.
Effective communication across multiple platforms—phone, email, in‑person, virtual, and mail.
Ability to operate standard office equipment and software applications to produce correspondence, reports, and databases.
Analytical and research skills for account information.
Strong organizational, prioritization, and time‑management in a fast‑paced environment.
Proactive follow‑up, problem resolution, and customer‑service skills in stressful situations.
Mathematical proficiency for processing account and transaction information.
Professional, collaborative attitude and capacity to work independently.
Required educational experience: High School Diploma or equivalent with at least one (1) year of securities industry or related work experience, or an equivalent combination of experience, education, and training as approved by Human Resources.
Licenses/Certifications: SIE (required unless exempt), Series 7 (required), Series 63, 65 and/or 66 as required by state.
Education / Experience High School Diploma (Required); 7 to 12 months of general experience in a financial services environment.
Location & Travel Fort Wayne, IN – Remote and office hybrid depending on branch needs. Travel less than 25%.
