Title Attendance Registrar
Reports To Director
Status Non-Exempt
Primary Function The Boys & Girls Club of South Central Tennessee Registrar ensures accurate attendance and financial accounting; resolves attendance related issues; ensures compliance with DOE/state reporting and documenting requirements (i.e. fire drill logs, bus logs, visitor sign-in and out logs); conveys attendance related information to appropriate parties; and provides general clerical support, information and/or direction as may be assigned. The Registrar, in addition to attendance and clerical duties, must be able to interact effectively with people of various ages, backgrounds and needs.
Key Responsibilities
Utilize tracking software and computer equipment to accurately document member sign-in and sign-out procedures.
Assist with collection of payments due from parents each Friday. Issue receipts and log payments accurately in appropriate follow-up. Follow up with parents on delinquent payments as requested by Unit Director via face-to-face requests, emails, or phone calls.
Manage communication with club members, parents, staff, volunteers and visitors as directed by Unit.
Greet families, guests/visitors, members and volunteers as they enter the front desk, phone politely and professionally.
Ensure daily attendance count is accurately recorded and follow up with YDCs to track any missing attendance.
Secure Club entrance/exit by following proper sign-in/sign-out procedures, checking identification for all individuals picking up youth and verifying against approved transportation contacts, and ensuring youth do not leave the facility until they have been signed out to an authorized adult. Report any incidents in the front lobby area following the organization's reporting protocols. Ensure front desk is manned at all times during Club hours.
Disseminate, collect and properly file all documentation related to club members (i.e registration forms, release forms, and disciplinary sheets). Enter and manage all members' applications in computer database.
Maintain proper record keeping and information as required by clinic administration.
Skills / Knowledge Required
Minimum of two to five years of work experience in a Boys or Girls Club or similar.
Strong communication skills, both verbal and written.
Group leadership skills, including an understanding of group and team dynamics.
Demonstrated organizational, staff and project management abilities.
Understanding of the organization's philosophy, vision and goals.
Excellent customer service skills, exhibits a high level of professionalism, and represents the club well as the first point of contact for visitors.
