Job Title: Executive Assistant

A leading private investment firm is seeking an experienced and dynamic Executive Assistant to provide high-level administrative support to senior leadership, including the Head of Investor Relations Partner, a Senior Partner, and light support (approximately 10%) to the Operations Partner. This is a fast-paced, high-visibility role within a collaborative, tight-knit team environment.

The ideal candidate is a polished and energetic professional with extensive experience supporting senior executives within financial services or private equity. This individual will excel at relationship management, anticipate needs, and operate with discretion, professionalism, and a service-oriented mindset.

Key Responsibilities

Executive & Administrative Support

  • Provide comprehensive support to the Head of Investor Relations and Senior Partner, managing complex calendars, meetings, and shifting priorities with precision and discretion.
  • Schedule and coordinate investor and portfolio company meetings, ensuring seamless logistics and professional communication.
  • Coordinate domestic and international travel arrangements, including detailed itineraries and meeting preparation materials.
  • Prepare and process expense reports in Concur with accuracy and timeliness.
  • Support the Operations Partner with select administrative and project-based tasks as needed.

Relationship Management & Communication

  • Serve as a trusted liaison for internal and external stakeholders, demonstrating professionalism and warmth in all interactions.
  • Build and maintain strong relationships across the firm, with investors, portfolio company executives, and industry partners.
  • Draft, proofread, and manage correspondence, presentations, and internal communications on behalf of the executives.
  • Anticipate needs, resolve challenges proactively, and ensure executives are prepared for meetings and events.

Operational & Team Support

  • Partner closely with the broader administrative team to provide backup coverage and ensure consistency across the firm.
  • Coordinate and support firm events, investor meetings, and offsites as needed.
  • Manage ad hoc projects, research, and process improvements to enhance efficiency and collaboration.

Qualifications

  • 8–10+ years of executive assistant experience supporting senior executives within financial services, private equity, or a related investment environment.
  • Proven ability to manage multiple priorities with strong attention to detail, accuracy, and follow‑through.
  • Tech‑savvy and proficient in Microsoft Office Suite, Google Workspace, and Concur; CRM experience (DealCloud or similar) a plus.
  • Outstanding interpersonal and communication skills with a focus on relationship‑building and discretion.
  • Polished, professional, and composed under pressure, with a proactive, resourceful approach.
  • Energetic, team‑oriented, and adaptable, with a “no task too big or too small” mentality.
  • Bachelor’s degree preferred but not required.
