Parts Coordinator at Refresco
Position Description
The Parts Coordinator is responsible for all coordination duties related directly to preventative maintenance, parts, documentation and the overall maintenance department. Ensures continued availability and requisition of all required parts for the Maintenance department while assisting in the continuous improvement of the preventative maintenance program.
Essential Functions
Adhere to all health and safety policies/procedures, Good Manufacturing Practices (GMPs) and wear the required personal protective equipment (PPE) while in the warehouse or production areas.
Responsible to adhere to food quality and food safety as per quality standards and/or Safe Quality Food requirements.
Process all incoming requisitions for parts in coordination in SAP with the Maintenance Manager and the Mechanics.
Accountable to develop the knowledge, skills and abilities in the areas of optimal parts coordination, becoming a subject matter expert on CMMS (Computerized Maintenance Management Systems) utilization, and develop a wide knowledge and understanding of effective maintenance parts.
Will work with all plant groups & levels and within each aspect of the equipment maintenance team, including suppliers and OEM representatives, contractors and safety systems support vendors, internal and external auditors, and all SQF, GMP and Supply Chain (purchasing) groups.
Supports continuous improvement activities related to safety, quality, and cost.
Maintains 100% accountability for the parts room – receive, sort and catalogue all incoming & outgoing parts.
Maintain inventory at designated min/max levels.
Store items in an orderly and accessible manner in a parts room, tool room, warehouse or other location.
Maintain records of amount, kind and location of parts, supplies and materials.
Submit orders to the assigned PO writer for all parts, ensuring verification of quality, quantity, and accurate documentation, including part numbers.
Work with the Maintenance department on new and upcoming projects that require parts.
Communicate status of parts delivery and lead time to the person who prepared the requisition as well as collaborate with the Maintenance Planner on scheduling projects.
Gather and set out parts (kitting) for planned project work for Maintenance personnel.
Assist in the monitoring of daily, weekly, yearly preventative maintenance programs.
Responsible for maintaining the filing system for Maintenance documents and records including all PM records.

Required Skills
Experience in Food/ Beverage Manufacturing preferred.
Proficient in Excel, Word, SAP and PowerPoint.
Must be able to work within a budget.
Excellent interpersonal skills and customer focus.
Ability to prioritize and multi-task in an organized manner, given limited time frames, paying close attention to all details.
Comfortable working independently and showing initiative.
Mechanical Aptitude: Knowledge of mechanical systems, machinery, and tools.
Preventative Maintenance: Familiarity with preventative maintenance procedures.
Critical Thinking: Ability to evaluate problems, identify potential solutions, and make decisions.
Communication: Ability to communicate effectively with team members, supervisors, and other departments.
Ownership: Is eager to take ownership of responsibilities; can and does think independently to excel in role; takes ownership of challenges.
Teamwork: Ability to work collaboratively in a team environment.
Record Keeping: Proficiency in maintaining accurate maintenance logs and records.
Education and Experience
High School Diploma or equivalent required; Business Administration or related degree preferred.
3+ years maintenance parts room experience preferred.
Working Conditions
Work Schedule: Weekdays, weekends, afternoon, evenings, overnight and holidays may be required. Overtime scheduled as needed.
Work Environment: Operating in a fast‑paced production plant with numerous moving parts. Noise levels require hearing protection and temperatures can be very hot and/or relatively cold. The environment is structured and supervised, with clear targets and schedules to meet.
