Scheduler, Central Referral Office (CRO)
Working closely with the CRO Manager and the Director of Patient Access, the Scheduler uses EMR to coordinate inbound and outbound referrals for CARTI providers and services. The role ensures appropriate medical records are provided with outbound and inbound referral orders, follows up on missing documents, registers patients in Centricity, and contacts patients to schedule appointments according to provider policy. The Scheduler compiles new patient packets, updates Salesforce for communication tracking, and notifies referring providers of appointment status.
Job Specific Duties and Responsibilities
Serves as one of the primary persons for external resources to schedule new Oncology patient appointments.
Ensures all appropriate clinical records are obtained prior to patient scheduling.
Contacts patients to schedule appointments.
Responds to referring providers regarding the status of the patient’s appointment in a timely manner.
Performs administrative functions of Electronic Medical Records.
Performs medical receptionist duties as necessary for the CRO department (answers telephone, screens calls, takes messages, and provides accurate information).
Demonstrates impeccable integrity in a professional and courteous manner.
Completes other responsibilities and projects assigned by management.
Updates Salesforce for tracking the process of new patients with the CRO department.

Education, Certification, Licensure and Registration
High school diploma or GED.
Experience, Knowledge, Skills and Abilities
Minimum 1 year’s experience working in a medical office setting.
Experience scheduling patient appointments.
Experience working with Electronic Medical Records (EMR).
Strong knowledge of medical terminology.
Knowledge of gathering, interpreting, and reporting insurance information.
Knowledge of grammar, spelling, and punctuation for typing, reviewing, and editing reports and correspondence.
Basic computer and office equipment skills.
Technical skills and knowledge to properly schedule appointments and maintain patient records.
Time management and organizational skills.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
Interpersonal Skills
Must interact and communicate well both verbally and in written form.
Must interact and exchange information regarding patients with physicians and other departmental personnel, and outside agencies on a frequent basis while respecting the confidentiality of patient information.
Physical Demands
Regularly required to talk or hear.
Regularly required to stand, walk, sit, use hands to fingers, handle or feel objects, tools, or controls; and reach with hands and arms.
Specific vision abilities required include close vision and the ability to adjust focus.
