Position Summary The Acquisitions Specialist I reports to the Acquisitions Librarian and participates in the acquisition of materials for the libraries’ collections. Primary responsibilities include liaising between library staff/faculty and external vendors in the creation and fulfillment of purchase requests, receiving and processing all incoming materials in print and non‑print format, and entering invoice data for UGA Libraries and Special Collections Libraries. The position may also assist in directing student workers as needed.

Qualifications Minimum Qualifications:

High school diploma or equivalent.

Knowledge, Skills, Abilities and/or Competencies:

Customer service experience and the ability to communicate effectively and congenially

Ability to understand policies and procedures and apply them to problem resolution

Experience with orders, invoices, vendors, and/or budgets

Proficiency with Microsoft Office software (Outlook, Word, Excel, PowerPoint)

Experience navigating and utilizing web‑based resources (websites, databases, ordering systems, etc.)

Knowledge of library acquisitions practices

Experience with Integrated Library Systems (ILS)

Duties & Responsibilities General Responsibilities (30%):

Develop and maintain knowledge of local acquisitions methods and plans, associated workflows, policies, and tools; provide guidance and training to colleagues and student employees.

Monitor orders/plans and associated funds for issues.

Utilize critical thinking to troubleshoot a wide range of acquisitions and collections related issues.

Communicate effectively and appropriately route communications.

Order Processing (30%):

Review and submit order requests for a variety of formats and funds, including sourcing materials with vendors.

Create records and encumbrances to appropriately reflect orders.

Enter invoice details and review invoices for accuracy and appropriate routing.

Receive, process, and route physical materials.

Activate and ensure discoverability of electronic resources.

Claim, cancel, and reorder materials as necessary to maintain efficient, patron‑oriented acquisition of materials.

Maintain record‑keeping and metrics associated with order/receipt statistics and vendor performance tracking.

Workflow & Project Support (15%):

Supervise student worker tasks to ensure accuracy and completion.

Monitor workflow efficiency and identify/report issues to supervisor.

Provide input and assist department managers in designing new workflows, procedures, and policies.

Create and run reports to support assigned responsibilities and projects.

Professional Development & Collaboration (15%):

Participate in 1‑on‑1, unit, departmental, cross‑departmental, and library‑wide meetings.

Utilize technical and functional expertise to refine workflows and achieve daily operations, time‑limited goals, and long‑term projects.

Collaborate with colleagues on strategic planning and goal‑setting activities.

Design and create documentation relevant to the position’s responsibilities.

Participate in cross‑training within the unit, department, and across the Libraries.

Continuous Learning (10%):

Develop and maintain expertise in both functional and technical aspects of the position.

Pursue service and professional development opportunities within and outside the department as appropriate.

Maintain awareness and act upon changes and needs in the organization by assuming similar duties and responsibilities.
