Position Summary The CSS Office Manager oversees the company Asset Management software and inventory supply chain logistics. This includes the management of uniform distribution, inventory control, and oversight of asset management software to track company-owned equipment, tools, and uniforms issued to staff.

The Office Manager will also provide administrative support for the corporate office in the areas of Human Resources, Operations and Finance as it pertains to applicant processing, new-hire orientation, and data entry.

Key Responsibilities I. Uniform Inventory and Equipment Management

Organize and maintain inventory of all uniform items and equipment.

Issue uniforms through Asset Mgmt. module in TrackTik to employees during onboarding and ensure returns upon termination.

Document issuance and return processes.

Create minimum stock levels for re-ordering.

Track uniform usage, sizing needs, and ensure compliance with company appearance standards.

Coordinate with uniform vendors for delivery and receipt of uniforms and patches. Confirm order quantities via packing slips and submit to Finance Department within two (2) days of receipt.

Notify Finance and/or Human Resources Departments of employee equipment purchases to ensure the applicable invoicing or payroll deductions are processed.

II. Asset Management Software Oversight

Maintain and update the Asset Management system in TrackTik for all issued items (uniforms, radios, phones, keys, etc.) at each individual site.

Perform monthly assets audit to enable tracking of assets and to ensure timely returns and/or replacements.

Generate weekly reports on inventory levels, asset losses, and outstanding returns.

III. Administrative Support/Front Desk

Assume office front desk/receptionist role on Wednesdays and Thursdays and/or as needed by the company to support recruiting, onboarding, and orientation/training.

Conduct regularly scheduled audits of Applicant Stack (ATS), B.E.S.T. Platform, TrackTik (Skills/Attributes), TOPS Licensing, Pay Rates (NC vs TT), and active employee roster.

Provide administrative support to Operations and HR Department regarding job postings @ ATS, TrackTik documentation, and reports administration (golf carts, phones, etc.).

Provide administrative support to Human Resources in the areas of WOTC administration, employment verifications, and employer of record.

Data entry of information discussed at daily Operations meetings into account notes.

Manage inventory of kitchen supplies, coordinate with Finance Department to replenish orders as needed.

Weekly Data entry of finance receipts in TrackTik database.

Record all golf cart invoices or maintenance transactions in TrackTik weekly.

Qualifications

Proficient data entry skills; Typing speed of at least 45+ words per minute

Microsoft Office skills (Outlook, Word, Excel, Powerpoint)

Corporate receptionist experience

CRM experience and familiarity

May require after-hours availability as determined by the company.
