The Scheduler performs general clerical and communication functions in the unit/clinic including answering phones, charge capture, preparing reports, filing, sorting mail, and working with any provider in the assigned area. The Scheduler greets patients and visitors courteously while maintaining adequate workflow at the front desk. Duties include reviewing new patient referrals/authorizations, performing new patient registration, insurance verification, check‑in, check‑out, and calling ancillary testing and procedures as necessary.
Responsibilities
Checks‑in, checks‑out, and schedules patients for multiple providers daily within two separate scheduling locations, licensed and non‑licensed.
Performs hospital charge capture for facility billing and audits for incomplete or missing facility charges.
Reviews all new patient referrals/authorizations to ensure adequate coding based on patient diagnosis and communicates with physicians and medical groups to obtain correct codes.
Prepares daily and monthly appointment reports for physicians and management.
Ensures all appointments are registered in the scheduling system, including patient and insurance information.
Greets patients courteously and provides all necessary forms and documents for completion; ensures copies are filed.
Collects co‑payments or co‑insurance amounts due at the time of service based on services provided in licensed and non‑licensed space.
Verifies insurance, registers new patients, and determines appropriate subspecialist within the Clinic.
Performs facility electronic charge capture.
Performs other duties as assigned.
Required Qualifications
High school diploma or equivalent.
Excellent customer service behavior.
Ability to work effectively with physicians, staff, and patients.
Excellent verbal and written communication skills.
Proficient operating a computer terminal and Microsoft Office software.
Preferred Qualifications
Three years of experience in a healthcare setting.
Required Licenses/Certifications
Fire Life Safety Training (Los Angeles City). If no card upon hire, one must be obtained within 30 days of hire and renewed before expiration.
The hourly rate range for this position is $21.00 – $33.15. The University of Southern California considers factors such as scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
