Position Summary Under the supervision of the Lead Academic Administrator, the Undergraduate Programs Administrator supports Media Studies, Medieval and Early Modern Studies, Moody Fellows, and the Center for Languages and Intercultural Communication. They are responsible for day‑to‑day operations for those units and serve as the problem‑solving point person for a variety of matters. They also support program faculty and coordinate many of the administrative functions and special event activities. This position also provides website management. They are the first point of contact, representing the programs to internal and external contacts.
The Undergraduate Programs Administrator interacts daily with faculty, students, visitors, other university staff, and various individuals and organizations outside Rice University.
The Undergraduate Programs Administrator provides support to the directors of undergraduate studies and assists with tasks that include, but are not limited to, the department’s General Announcements, course offerings, and course schedules.
The ideal candidate is a high‑energy connector who thrives in a role defined by constant interpersonal engagement rather than solitary desk work. As the primary face of multiple academic programs, the candidate should possess the interpersonal stamina to remain a welcoming, helpful presence for faculty and students while expertly juggling competing deadlines. We are looking for a master multitasker who can balance a high‑volume of face‑to‑face interactions with the disciplined focus needed to keep various administrative projects on track.
Workplace Requirements On‑campus position: This position is exclusively on‑site, necessitating all duties to be performed in person. Per Rice policy 440, work arrangements may be subject to change.
Hiring Range This position is benefits‑eligible, exempt*, and has an expected minimum salary of $67,000 (dependent on experience and qualifications).
*Exempt (salaried) positions under FLSA are not eligible for overtime.
Minimum Requirements
Bachelor’s Degree
In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year‑for‑year basis may be substituted
2 years of related professional experience

Essential Functions
Administers the daily operations of assigned programs with general guidance by the directors and a senior staff member
Manages the development, implementation, administration, and evaluation of operations, including, but not limited to: research administration; budget/finance/program administration (including study abroad); workshops, conferences, and other events; communications/outreach; and compliance
Plans and coordinates logistical aspects of recruitment activities
Provides support to faculty, staff, and students as related to the program(s)
Assists with student recruitment, student records, curriculum support, and coordinating the accreditation process
Designs and processes course and outreach materials both in digital and hard copy formats
Monitors and maintains websites
Maintains social media accounts
Performs all other duties as assigned
Additional Functions
Processes faculty reimbursements
Processes travel reimbursements and honoraria for guest speakers
Supervises student assistants
May support other programs, initiatives, and events in the Humanities
