Position Summary An Administrative Assistant is a professional who provides administrative roles that help to facilitate the daily functions and operations of the department. The Administrative Assistant uses computer software to create spreadsheets, manage databases; and prepare presentations, reports, and documents.

Essential Functions and Responsibilities of the Job

Provides more complex administrative support and project coordination for the department head, managers, and/or staff members to include the following: Answers phones, screens calls, takes messages, and routes to appropriate members/staff.

Manages multiple calendars and schedules/plans meetings.

Co‑ordinates project proposals and recommends updates to department documents.

Schedule meetings, prepare agendas for meetings, and prepare meeting minutes.

Tracking task and project progress

Prepare operational reports e.g., productivity, and JOC data.

Respond to operational team requests.

Organize ShareFile, update and maintain share file folders.

Prepare PowerPoint presentations for meetings as needed.

Runs standard reports including metrics, census, hospitalization, emergency visits, etc.

Demonstrates proficiency in computer navigation and medical/financial databases communications.

Typing up copy for presentations

Prepare JOC presentation and maintain JOC calendar.

Monitor and/or respond to routine email/inquires for others

Performs other duties as assigned.

Experience

2+ years’ experience in healthcare setting with data entry, mail processing scheduling and file maintenance with evidence of designing and maintaining computerized databases and spreadsheets.

Knowledge of insurance contracts, multi‑payer systems and business office operation is preferred.

Clinical background preferred.

Advanced computer skills in Macintosh and Microsoft Windows environment, including Word, Excel, PowerPoint and Access.

Excellent verbal, written and interpersonal communication skills. Must have excellent organizational skills.

Education

Required: High school diploma or GED.

Preferred: Associate or bachelor’s degree.

Bachelor’s degree in healthcare related field is preferred.

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities.
