Summary The Records and Compliance Coordinator in the Office of the University Registrar (OUR) leads the academic grading process for the university and manages various critical OUR functions. The position supports the Academic Regulations Appeals Committee (ARAC) and processes academic standing and special action forms, assists with the NCAA eligibility certification process and maintains records.
Core Responsibilities
University academic grading process (40%) Coordinate the collection, processing, and posting of grades; communicate with schools, departments, faculty, and students; set deadlines; run reports; ensure timely submission; monitor credit hour limits; create shared tools; enter grade changes; maintain historical repeat file.
Records maintenance (25%) Review ARAC decisions and Special Action forms; update records 100% accurate; manage prerequisite checks and dropping; review edits and correct; assist with student information system conversions.
NCAA eligibility certification process (20%) Monitor student‑athlete academic standing, enrollment, and program of study; apply NCAA bylaws; maintain forms and procedures to comply with changing rules.
Pass/Fail compliance management (10%) Create and maintain forms for Pass/Fail requests; prepare and edit final file for insertion into SIS; communicate approvals/denials to students and advisors.
Other duties (5%) Respond to the OUR email account.
Qualifications
Minimum: Bachelor’s degree in a related field or equivalent combination of training, education, and experience.
Professional experience working in a registrar’s office.
Professional experience with student information systems.
Excellent oral and written communication skills.
Analytical thinking and problem‑solving ability.
Knowledge of VCU policies and procedures.
Understanding of FERPA and student privacy laws.
Ability to foster respect, professionalism, and civility with a diverse faculty, staff, and student population.
Preferred: Experience in a large university registrar office.
Preferred: Functional experience with VCU grading process or other academic regulations.
Preferred: Experience writing reports with tools such as SAS Enterprise Guide.
Preferred: Experience training stakeholders from varied backgrounds.
Salary & Benefits Salary up to $43,000. Full‑time staff eligible for VCU’s comprehensive benefits package, including health, paid leave, tuition benefits, retirement planning, tax‑deferred annuity, employee discounts, well‑being resources, career development, and more.
