Job Summary:

Responsible for maintaining accurate animal records, coordinating animal transactions with vet staff and curators, and ensuring compliance with state and federal regulations for animal management. This role also supports animal transactions, shipping, invoicing, and assists in veterinary procedures as needed.

Job Duties/Responsibilities:

Maintain ZIMS animal records database and troubleshoot software problems.

Correspond with curators, vet staff, zoo admin staff and studbook keepers and generate requested information via various reports.

Serve as institutional representative to Species 360, manage correspondence, and stay updated on changes.

Submit annual reports and permit renewals for state and federal animal permits and assure compliance with state and federal wildlife regulations.

Process paperwork for new permits as needed.

Prepare, record, track, and file documents associated with animal transactions.

Arrange shipping of animals with airlines and ground carriers.

Responsible for aspects of all animal transfers.

Prepare and send invoices for animal sales and shipping charges.

Create and disable animal staff ZIMS accounts during employment status changes.

Collaborate with the HR specialist for AZA accreditation preparation.

Veterinary Assistant Duties:

Enter and update veterinary records accurately in ZIMs 360.

Assist veterinary staff during procedures and serve as backup support when needed.

Assist with routine medical procedures to contribute to accurate medical record keeping.

Assist with maintenance of medical record filing and storage procedures.

Assist with routine hospital maintenance procedures and serve as a backup support when needed.

Other duties may be assigned as needed to support veterinary operations.

Job Qualifications:

Education and/or Experience:

Bachelor’s Degree (BS) or equivalent from a four-year college, 2 years’ experience in animal records or related fields.

Experience or familiarity with veterinary procedures.

Excellent attention to detail, organization, and interpersonal communication skills.

AZA Record Keeping course is preferred but not required.

Interpersonal Skills:

Ability to build and maintain effective working relationships with co-workers at all levels.

Language Skills:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedures manuals. Ability to effectively present information and respond to questions from groups of managers and the general public.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Work Environment Characteristics:

While performing the duties of the job, the employee is frequently exposed to wet and/or humid conditions, moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals, outside weather conditions, extreme cold and extreme heat, and dangerous animals. The employee is occasionally exposed to high, precarious places and risk of electrical shock. The noise level in the work environment is usually moderate.
