ADMIN ASSISTANT (FULL TIME)

Job Summary Responsible for clerical functions and administrative support of food service programs.
Key Information
Location: University of Kentucky Hospital – KY Clinic – 740 S. Limestone, Room L037, Lexington, KY 40536 (online applications accepted only).
Schedule: Full‑time, Monday‑Friday, hours may vary; details after interview.
Pay Range: $22.00 to $24.00 per hour.
Requirements: Microsoft Office and data entry experience required.
Immediate hiring – 25 open positions.
Essential Duties and Responsibilities
Assists with weekly payroll processes, verifying timecard data, resolving discrepancies, and ensuring timely submission.
Supports department leaders with scheduling updates and maintenance in MyStaff.
Assists with execution of safety engagement initiatives and audits.
Coordinates with leadership to ensure all employee annual performance reviews, safety training, and recertification deadlines are met.
Conducts audits of various payroll, benefits or other HR programs and recommends corrective action.
Answer telephones and direct inquiries in a professional and client‑centric manner.
Maintain confidential personnel files.
Assist management staff in preparing confidential employment and labor relations documents, including proposed disciplinary notices.
Assist with staffing, including finding staff when employees call out on short notice.
Work effectively and maintain good working relationships with co‑workers, school personnel, administrators, students' parents, and supervisors.
Complete and maintain accurate and up‑to‑date records of students eligible for free and reduced‑priced lunches, if applicable.
Enter weekly cash sales and meal counts using a computer.
Perform daily bank deposit reconciliation.
Process vendor invoices for payment using a computer, ensuring correct additions and verifying item prices against bid specifications, with no pricing discrepancies.
Perform monthly vendor statement reconciliation.
Prepare monthly state claim form for reimbursement.
Assist in preparation of end‑of‑month financial reports.
Attend in‑service and/or safety meetings as required.
Maintain a clean and safe work environment; perform job safely.
Perform other duties as assigned.
