Position Summary The Administrative Assistant provides essential administrative and operational support to ensure efficient daily office operations. This role serves as a central point of communication, supporting staff and management by coordinating office communications, managing timekeeping and expenses, assisting with dispatching activities, and supporting employee onboarding.

Key Responsibilities Office Communication

Serve as the primary point of contact for internal and external communications

Answer, route, and respond to calls, emails, and general inquiries in a professional manner

Maintain organized records and documentation

Timekeeping & Payroll Support

Track employee timekeeping records and ensure accuracy

Assist with payroll preparation by reviewing and submitting time and attendance data

Follow up with employees and supervisors regarding missing or inaccurate time entries

Expense Management

Collect, review, and process employee expense reports

Ensure expenses comply with company policies

Maintain accurate expense records and assist with reconciliation

Dispatching & Scheduling

Coordinate and dispatch personnel, drivers, or service teams as needed

Monitor schedules to ensure coverage and efficient operations

Communicate changes or updates promptly to all affected parties

Onboarding Support

Assist with onboarding new hires, including paperwork, system access, and orientation scheduling

Coordinate with HR and management to ensure a smooth onboarding experience

Maintain employee onboarding records and checklists

General Administrative Support

Maintain office supplies and equipment

Assist with filing, data entry, and report preparation

Support management with additional administrative tasks as needed

Qualifications & Skills

High school diploma or equivalent required

1–3 years of administrative experience preferred

Proficiency in Microsoft Excel, OneDrive, and Microsoft Teams required

Strong organizational, communication, and multitasking skills

Experience with timekeeping, expense tracking, or dispatch systems preferred

High attention to detail and ability to meet deadlines
