Position Summary The Specialty Buyer/OR Materials Coordinator (SB/MC) position requires a full understanding and active participation in fulfilling the mission of MHS. It is expected that the employee demonstrate behavior consistent with our core values: Accountability, Best practices, Compassion and Synergy (ABCS). The SB/MC shall support the strategic plans of Long Beach Medical Center (LBMC) and Miller Children's and Women’s Hospital Long Beach (MCWHLB) and participate in and advocate performance improvement activities.
The SB/MC will participate in the cost‑effective management of supplies, equipment, and specialty items from acquisition through disposition in accordance with the Perioperative Services' Department's policy and procedures. This position is responsible for negotiation for and procurement of supplies, equipment and services for Perioperative Services and related functions in accordance with MHS Materials Resources goals.
The SB/MC receives requisitions, verifies that they possess proper administrative approvals, places orders with suppliers contracted with MHS, performs necessary follow‑up between service lines and vendors to accommodate the needs of Perioperative Services. This position is also responsible for the effective resolution of vendor performance problems, invoice‑purchase order errors.
Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including shift differentials, extra shift incentives, and bonus opportunities. Essential Functions and Responsibilities
Communicates with the ordering manager to ensure product specifications are correct and requirements are clear. Manages cost‑effective purchases of specialty products and implants.
Places orders within two (2) business days or within four business hours if the order is stat/urgent.
Checks orders against all contracts and purchasing agreements to maintain contract pricing and terms and searches for improved or less costly products.
Completely reviews purchase requisitions for correct item information, authorized approvals, prepares and transmits to Purchasing to place the order.
Advises ordering managers of lead times, price changes, or back orders. Expedites shipments as required.
Works closely with Receiving/Distribution and the ordering department to return shipments and resolve discrepancies.
Assists in invoice resolution and receiving discrepancies and requests PODs as needed.
Utilizes the MMIS to log and track all purchases and maintains all files to ensure data integrity. Demonstrated ability, competency and accuracy collecting, recording, retrieving and communicating purchasing information in a timely manner.
Maintains good vendor relationships and monitors vendor performance.
Demonstrates ability to perform the buying function for all departments and/or commodities.
Initiates, implements and oversees performance improvement opportunities within the surgical supply chain.
Ensures compliance with New Product and New Technology algorithms for all surgical departments.
Ensures sustainment of inventory targets for Perioperative services.
Effectively monitors and resolves vendor performance.
Participates in MHS O.R. V.A.
Experience Three years experience in a healthcare medical purchasing environment with a heavy emphasis on the ability to analyze price/costs on a wide range of products and services.
Must possess a thorough understanding of purchasing methods and procedures and understand and adhere to the laws governing all purchasing transactions. Database and spreadsheet knowledge is essential.
Prior experience with computerized purchasing/inventory management systems required.
Education AA or Bachelor's degree in a related field is preferred. Extensive experience as a healthcare buyer may be accepted in lieu of formal education.
