The Admissions Assistant serves as the first point of contact for families, embodying ROWI's commitment to compassionate and professional care. This role involves managing incoming calls, supporting the admissions process, and ensuring a welcoming environment for all clients and families.

Key Responsibilities

Greet families calling in, providing a warm and professional welcome.

Answer and direct incoming calls and emails to appropriate staff members.

Manage the admissions calendar.

Assist with the preparation and organization of client intake documentation.

Maintain confidentiality and compliance with HIPAA regulations.

Coordinate with the admissions team to ensure a smooth process for new clients.

Manage office supplies and ensure the reception area is tidy and organized.

Support administrative tasks as needed to facilitate daily operations.

Answer phone inquiries.

Data entry in KIPU (EMR System).

Assist with insurance and VOBs.

Engage in professional written and verbal communication with families, referral sources, and other professionals.

Ability to set priorities and to handle multiple assignments.

Ability to work with minimal supervision.

Proficient in basic computer skills.

Able to maintain clear boundaries with clients and staff.

Work effectively within an interdisciplinary team environment.

Must demonstrate tact, initiative, resourcefulness, professionalism, enthusiasm, and a non‑judgemental attitude.

Documents clearly and efficiently.

Qualifications

Spanish Speaking Preferred.

High school diploma or equivalent required.

Minimum of 1–2 years of experience in a receptionist or administrative role, preferably in a healthcare or mental health setting.

Excellent interpersonal and communication skills.

Proficient in Microsoft Office Suite and comfortable with KIPU (EMR system).

Strong organizational skills and attention to detail.

Ability to handle sensitive information with discretion.

Commitment to providing compassionate and client‑centered service.

Strong interpersonal and organizational skills.

Must be able to communicate with people from all educational and cultural backgrounds.

Must cope constructively with stressful situations.
