Responsibilities The Property Administrator supports day‑to‑day operations of one of New York City’s most transformative mixed‑use developments. The role provides high‑level administrative and operational support to the property management team while serving as a point of contact for residents, tenants, vendors, and internal stakeholders.

Key responsibilities include:

Work with the General Manager to manage financial aspects of operations, including preparation of property budgets, monthly asset reports, monthly financial change forms, and capital expenditure tracking.

At the direction of the General Manager, supervise Concierge/Door staff.

Aids in hiring, training, and evaluation of leasing/office/maintenance staff in conjunction with the Resident Manager and General Manager.

Assist in the supervision of specific site program administration and ensure the site complies with brand standards, including property presentation, marketing, apparel, etc.

Ensure compliance with all federal, state, and local laws, specifically Fair Housing regulations at site level.

Handle special projects as assigned by General Manager, Regional Manager, Vice President, and senior leadership.

Assist in the preparation of annual operating budgets and stay within budgetary guidelines.

Initiate and implement policies, procedures, forms, schedules, and controls with the approval of the General Manager to manage staff and physical plants.

Supervise building security measures, incident documentation, and notifications of management, owners, and insurance carriers.

Assist General Manager with regular site analysis, competitive grids, and shopping of competition.

Work closely with General Manager, Regional Manager, and Vice President for Revenue Management to set price points, review target markets, and initiate advertising or specials with approval.

Ensure adequate coverage for the leasing office and maintenance at all times, including extended hours and weekends as needed.

Complete renewal processes and negotiate renewals with residents.

Control vacancy losses through proactive market knowledge.

Ensure site staff have necessary computer software and hardware via the IT Checklist.

Oversee Resident Service Specialists’ facilitation of sub‑lease/surrender options.

Maintain preventive maintenance schedules and ensure compliance with vendor contracts.

Assist Resident Manager with contract compliance and RFP creation for capital projects.

Confirm market‑rate standards for curb appeals across all sites.

Handle resident complaints promptly and professionally, ensuring proper notifications.

Enforce site leases, house rules, pet agreements, smoke‑free riders, and record significant violations.

Attend court proceedings as required.

Execute resident events and partner offers per brand standards.

Follow up on Resident Surveys for new and established residents.

Approve time sheets, O/T, and temporary labor for weekly submission to the regional office.

Draft disciplinary and probationary letters at General Manager’s direction.

Engage with union when appropriate and participate in grievance processes.

Encourage staff participation in Employee Engagement Surveys and execute Action Plans.

Hire, train, and supervise seasonal amenity attendants.

Compensation Anticipated base salary range: $70,000 – $75,000. Salary will be determined by experience, skills, qualifications, and market factors.

Qualifications

5+ years of progressive property management or operations leadership experience.

Proven ability to lead and inspire teams while balancing operational efficiency and resident satisfaction.

Strong knowledge of affordable housing programs, compliance processes, and regulatory requirements.

Experience in leasing up luxury residential or mixed‑use property management strongly preferred.

Exceptional communication, organizational, and problem‑solving skills.

Ability to thrive in a fast‑paced, dynamic environment with a hands‑on, solutions‑focused approach.
