JOB SUMMARY The Repair Order Data Specialist is responsible for reconciling, validating, and entering vehicle repair order (RO) and parts consumption data related to port and workshop repairs. This role ensures accuracy and completeness of repair records by reconciling internal VinFast data (AFS, Salesforce, SAP, workshop records) with external supplier data (e.g., Amports), particularly for TSB‑related repairs completed at the port during defined periods and workshop repairs.

RESPONSIBILITIES & KEY ACTIVITIES

Repair Order & Data Reconciliation

Reconcile vehicle repair order data from internal sources (AFS Excel, VinFast workshop records, TSB campaign results, Salesforce) with external reports, invoices, and data provided by suppliers (e.g., Amports).

Identify, document, and escalate discrepancies, including mismatches in labor hours, parts used, costs, repair details, or TSB applicability.

Accurately enter validated and reconciled repair order data into Salesforce and related systems.

Ensure completeness and accuracy of RO data, including VIN, TSB reference, repair descriptions, labor entries, parts codes, quantities and pricing, warranty indicators.

TSB & Parts Consumption Analysis

Retrieve and analyze VIN/TSB/completion-time data for vehicles repaired at the workshops and port.

Determine which TSBs were applicable and completed during the defined period.

Identify required parts per TSB, noting cases where part replacement is conditional on inspection results.

Produce a consolidated output list of consumed parts at the port for the defined period and accurately enter missing repair orders into Salesforce.

System & Inventory Reconciliation

Extract lists of repair orders already entered in Salesforce that remain open for the relevant VINs and timeframe.

Reconcile SAP system inventory against physical inventory at the port to confirm part availability and consumption.

Identify additional repair orders that must be created in Salesforce, repair orders eligible for closure, and produce lists for entry or closure.

Contractor Guidance & Support

Provide clear guidance to temporary contractors on adjusting parts to the correct inventory locations (e.g., 2326 or 2327) to enable RO closure and entering repair orders for vehicles not yet recorded in Salesforce.

Support consistent data entry standards and reconciliation accuracy.

Reporting & Compliance

Generate basic reconciliation summaries and status reports as requested.

Maintain strict confidentiality of repair, inventory, and supplier data.

Comply with company data security, internal controls, and quality standards.

MINIMUM REQUIREMENTS

High School Diploma, GED, or equivalent relevant experience.

Prior experience with automotive repair orders, service records, or parts tracking.

Strong attention to detail and data accuracy.

Working knowledge of Excel and ability to learn internal systems (Salesforce, SAP, AFS).

Ability to analyze and reconcile data across multiple systems.

Valid driver's license.

PREFERRED QUALIFICATIONS

Experience supporting port operations, VDCs, or large-scale TSB campaigns.

Familiarity with automotive parts catalogs and TSB workflows.

Experience reconciling inventory systems with physical counts.
