Job Description The Senior Data Specialist supports data and reporting functions for the Meals on Wheels Program and other VOA departments utilizing the Serv Tracker system. This role tracks, compiles, and maintains consumer demographic information, service records, and delivery data. The Senior Data Specialist collaborates with the Program Manager to prepare program evaluations, reports, and data for grant applications and compliance requirements. The position also contributes to the training and implementation of the Serv Tracker data management system across relevant teams.

Essential Duties and Responsibilities

Compile and maintain records detailing the current status of all consumers served by the Meals on Wheels Program and archive these records according to program rules and regulations.

Create reports for accounting and all departments that use the Serv Tracker database, including additional data or reporting as directed by the Program /Project Manager or Director(s).

Prepare monthly reporting and distribute by the 15th of each month.

Prepare monthly unit report and distribute by the 10th and 15th of each month.

Prepare monthly meal service status reports.

Additional reporting as assigned.

Track and provide the Senior Director with the client and service data needed to prepare applications for program funding and required status reports for all program funding sources.

Weekly report to the accounting department for MOW route sheets and distribute to accounting no later than end of day each Tuesday.

Serve as the program liaison with the Accounting Department and coordinate monthly contribution reminders and unit mailings. Coordinate with accounting in the creation of customized Serv Tracker Reports.

Provide information and clarify services available for qualifying participants, including making appropriate recommendations for service availability.

Maintain updated accuracy of ServTracker manuals and update any changes communicated by the Database and Systems Manager.

Act as the daily liaison for Meals on Wheels outer counties by coordinating meal units and route sheets, and supporting Program Managers in maintaining accurate, timely communication on units served and ensuring client updates are entered correctly in the ServTracker system.

Serve as backup in the preparation of the daily route sheets for Meals on Wheels as requested or needed by the Program Manager or Associate Division Director.

Serve as the primary administrator and subject matter expert for Meals on Wheels data systems (client databases, route management systems, funder reporting platforms).

Ensure accuracy, completeness, and consistency of client, meal, route, volunteer, and billing data.

Develop and maintain data quality standards, validation checks, and audit processes.

Troubleshoot data issues, resolve discrepancies, and implement corrective actions.

Track key performance indicators (KPIs) related to meals served, service levels, waitlists, routes, and client outcomes.

Analyze trends related to service volume, route efficiency, client demographics, and program growth.

Support forecasting, capacity planning, and continuous improvement initiatives.

Support reporting, data input, and other administrative tasks as required by the Program Manager.

Perform all other duties as assigned.

Working Conditions and Physical Requirements

Deliver meals to clients as needed and may need to lift up to 25 lbs. repeatedly during deliveries.

Travel utilizing personal vehicle may be required.

Extended periods of sitting at a desk may be required.

The noise level is usually low to moderate.

Position Type and Expected Hours of Work

Full Time

Monday – Friday 8:00 am‑4:30 pm and designated holidays & occasional Saturdays.

Work from home up to 16 hours per week.

Evening and/or weekend hours may be required based on program events or assigned job duties.

Compensation Pay: $23.00‑$24.00 per hour.

Required Qualifications

Associate degree in business/administration, public administration, business, information systems, or related field, or equivalent professional experience.

Minimum of 2–5 years of experience in data management, reporting, or program analysis, preferably in a nonprofit, healthcare, or social services setting.

Strong experience working with databases, spreadsheets, and reporting tools.

Ability to manage competing priorities and deadlines.

Demonstrated ability to manage complex data sets with a high level of accuracy and confidentiality.

Detail‑oriented mindset with a focus on data accuracy and quality assurance.

Own transportation, valid Colorado driver’s license, and proof of insurance.

Preferred Qualifications

Experience with aging services, healthcare, or Medicaid‑funded programs.

Familiarity with funder reporting requirements and compliance standards.

Exceptional attention to detail and organizational skills.

Strong analytical and problem‑solving abilities.

Knowledge of quality assurance and continuous improvement methodologies.

Ability to listen effectively and respond creatively to program participants’ concerns.
