Director of Philanthropy (with direct support to the CEO)
Job Summary:
The Philanthropy & Executive Support Coordinator provides high‑level administrative, operational, and project coordination support to the CEO and Director of Philanthropy. This role ensures strong internal communication, organization, and follow‑through while supporting fundraising events and development operations.
Executive Support
Provide comprehensive administrative support to the CEO and Director of Philanthropy, including calendar management, scheduling, meeting coordination, and preparation of materials.
Support internal and external communications by drafting correspondence, preparing agendas, and tracking follow‑up items.
Assist with board‑related preparation, including compiling materials, coordinating logistics, and maintaining organized records.
Help manage priorities, timelines, and project coordination to ensure leadership initiatives move forward efficiently.
Coordinate logistical planning and execution for organizational fundraising events, including timelines, vendor coordination, materials, and day‑of support.
Maintain event calendars, task lists, and internal communication to ensure alignment across departments.
Support sponsorship fulfillment and tracking, including benefits delivery and acknowledgement.
Assist with post‑event follow‑up, including thank‑you communications and reporting support.
Development & Philanthropy Operations
Support donor stewardship efforts, including acknowledgement letters, donor communications, and stewardship tracking.
Assist with preparation and submission of small grants and corporate gifts, including gathering supporting materials and completing online applications.
Maintain accurate donor and sponsorship records within the donor database/CRM.
Support development reporting and data organization as needed.
Skills & Knowledge
Highly organized, detail‑oriented, and proactive.
Strong written and verbal communication skills.
Ability to maintain confidentiality and exercise discretion.
Comfortable working behind the scenes to support organizational goals.
Collaborative team player with a service‑oriented mindset.
Ability to adapt to shifting priorities in a fast‑paced nonprofit environment.
Job Requirements
Associate’s degree preferred, or equivalent combination of education and experience.
2+ years of experience in administrative support, nonprofit operations, development support, or a related field.
Must have a valid driver’s license and the ability to travel within the community throughout the workday with full access to an automobile and automobile insurance in the amount required by the state of Wisconsin.
