What is the Opportunity? In this role, you will provide administrative assistance and coordination to the Vice President, supporting the Senior Management Team and ensuring smooth operation of meetings, travel, and daily executive needs.
Key Responsibilities
Act as the key contact for the executive you support.
Calendar management including prioritizing, scheduling, and managing conflicts.
Monitor a dedicated inbox to manage meeting proposals, action items, and inquiries.
Support organization of meetings, video and in-person sessions, book meeting locations and equipment, coordinate business planning sessions, staff meetings, management meetings, bi‑weekly management team meetings, and one‑on‑ones with direct reports (functional and global).
Follow up on agenda items or deliverables, coordinating with facilitators and presenters to deliver materials timely.
Coordinate travel and hotel arrangements for the team, as needed.
Process monthly expense reports, validate them prior to SVP approval.
Maintain team vacation schedule and up‑to‑date records for the executives and their direct reports within the Vacation & Absence Management (VAM) system.
Organize communication sessions, employee recognition celebrations, and other team events.
Procure office supplies and user tech equipment for the team, as needed.
Raise awareness among the team, extend invitations to key business partners, and maintain effective knowledge of all relevant resources and services within the organization.
Proactively seek opportunities to provide additional value and ensure all established deadlines and commitments are met.
Required Qualifications
10+ years of executive administration or coordination experience supporting senior‑level management.
Strong interpersonal and diplomacy skills, comfortable dealing with individuals across all levels.
Ability to thrive in a collaborative environment with strong prioritization skills.
Ability to work in a fast‑paced environment and handle changing requirements continuously.
Ability to work efficiently and accurately with minimal supervision.
Highly proficient in Microsoft Word, PowerPoint, Excel, and Outlook.
Ability to create and edit documents and PowerPoint slide decks per guidance provided.
Strong organizational skills, including the ability to organize, plan, and schedule activities and strong calendar management/scheduling skills.
Nice to Have
Bachelor’s degree.

The expected salary range for this particular position is $60,000‑$100,000, depending on your experience, skills, and registration status, market conditions and business needs.
