Executive Assistant – Brown University Health Summary Responsible for performing administrative and managerial support duties for the VP Chief Nursing Officer and VP Chief Medical Officer. Responsibilities

Assist the Executive at internal and external meetings; provide materials and oral briefings as needed.

Administrative support to the Medical Staff Office, including maintenance of OPPE/FPPE files and components, meeting agenda/minutes/preparation.

Maintain Outlook calendars systematically, schedule meetings, prepare agendas, distribute supporting documents, arrange rooms/refreshments.

Type and distribute meeting minutes; maintain copies as required.

Prepare complex administrative reports, statements, rosters, perform data gathering, calculations, and draft related materials; produce special reports for executive review.

Interview/welcome visitors to the Executive’s office; handle specific problems or requests within scope of authority.

Open, sort, and distribute all mail addressed to the Executive.

Maintain accurate and orderly files of all office correspondence; maintain confidential and personal files.

Perform typing duties and transcription of correspondence, reports, memoranda, forms, tables, charts, presentations, schedules.

Research, fact‑find, and assemble initial materials and data for various projects as requested.

Prepare payroll for approval and perform specialized functions related to department operations, including bulk purchasing within specified limits.

Maintain administrative manuals, support posting of hospital policies, review documents for executive signature ensuring format, typographical accuracy, compliance, and completeness.

Perform duties with discretion, friendliness, and attention to detail, observing and enforcing all hospital policies, rules, and regulations.

Support the Executive with regulatory, quality, risk, and safety initiatives for the Hospital as requested.

Perform other duties as required.

Qualifications

Equivalence to completion of an Associate Degree in Secretarial Science or a Bachelor’s degree, or an accredited secretarial/business school certification with advanced courses, or some college background with advanced business courses.

Comprehensive knowledge of Microsoft Office Suite, including Outlook, PowerPoint, and Excel.

Five years of secretarial experience preferred.

Thorough knowledge of hospital clinical and administrative functions and understanding of the scope of the clinical director’s duties.

No supervisory responsibility.

Pay Range $28.12–$46.39 per hour.
