The Operations Business Manager supports production goals by owning marketing, growth, and daily operations. This person reflects my voice and values while contributing their own ideas and systems. The role builds, implements, and manages systems with a high degree of accuracy and ownership, creating a repeatable business model, exceptional client experience, and increased productivity for the agent.

Marketing/Business Growth

Plan, execute, and maintain marketing efforts including the marketing calendar, content creation and light editing of existing templates, mailers/newsletters, occasional client events, vendor coordination, and ongoing online presence (website, reviews, social media, Google Business, video).

Support business growth initiatives by identifying opportunities to improve client experience and develop new lead sources, partnerships, and networking opportunities.

Client Touch Points

Manage and enhance client touchpoints including automated gifting (closing, anniversaries, birthdays, seasonal pop-bys), and creation of buyer and listing presentation materials.

Support the client journey by building automated touchpoints and handling limited, non-advisory client communications such as prompt responses to incoming leads and emails.

Operations and Systems

Develop and manage operational systems including lead generation, database management, SOPs, filing systems, workflow optimization, and research/implementation of time-saving tools.

Managing agent calendar and appointments, and offloading administrative tasks so the agent can focus on revenue-generating activities.

May oversee other contractor for local errands as needed

Transaction Coordination

Provide transaction coordination support on an as-needed basis (availability required during weekday business hours), managing listing setup, vendor scheduling, seller budgets, buyer/seller resources, and all contract-to-closing paperwork, deadlines, and communications to ensure smooth, accurate, and timely transactions.

Requirements

Effective written and verbal communication and excellent editing/proof reading skills (bonus: include “Happy to Apply” in the subject line of your application to show attention to detail)

Be a self starter - take ownership of work product and timelines, prioritize tasks, ensuring reminders aren’t needed in order to complete tasks, identify and initiate solutions

Remote work. Occasional in-person errands a plus but not required. Zoom and/or calls as needed to connect on work projects.

Qualifications

2-3 years of relevant experience in coordinating relevant projects, Transaction Coordinator with a mind for marketing and operations would be a great fit.

Proficiency in Microsoft Office Suite/G-Suite, social media, Canva and ability to learn/self teach new user-friendly programs such as: Follow Up Boss, HomeBot, Skyslope, Excel, Real Scout, Trello, Calendly, Canva, Cloud CMA, others.

Solutions and outcomes-driven attitude

Compensation/Availability

Up to 20 hours/week to start, must be available some portion of each Monday-Friday 9-5PDT, working around your availability.

Monthly contract, billing hourly, amount depending on experience

Yearly Bonuses based on reaching agent performance goals
