About Us
. We are seeking a reliable, organized, and detail-oriented Administrative Assistant to support our attorneys and paralegals in this specialized practice.
Responsibilities
Serve as the first point of contact for professionals seeking assistance with licensing investigations or accusations
Manage incoming calls and emails with sensitivity to confidential and time‑critical matters
Open and maintain electronic and physical client files in compliance with State Bar confidentiality requirements
Prepare and format correspondence to clients, licensing boards, and expert witnesses
Calendar regulatory deadlines, hearings, interviews, and agency appearances
Assist with client onboarding and preparation of retainer agreements
File and submit documents to California agencies according to required procedures
Maintain office organization, supply management, and general clerical support
Back up reception and greet clients professionally
Coordinate document production, scanning, and preparation of exhibits for administrative hearings
Qualifications
Familiarity with legal terminology and professional document formatting
Exceptional attention to detail and organizational skills
Ability to handle highly confidential information with discretion
Strong written and verbal communication skills
Proficiency in Microsoft Office and Adobe PDF
Ability to work independently and prioritize multiple deadlines
Client‑service mindset when working with stressed professionals
Preferred Skills
Exposure to administrative hearings or licensing board processes
Knowledge of California agency filing and submission requirements
Experience with case management/document management software
$20-25 per hour DOE
