Ganem Companies is seeking a highly experienced Executive Assistant to support our Executive Team and ensure their days run smoothly, efficiently, and with intention. This role requires exceptional organizational strength, mastery in time blocking and prioritization, and the ability to operate with poise in a fast‑paced, rapidly growing environment. The Executive Assistant will act as the central hub for executive activity—coordinating schedules, anticipating needs, managing communication flow, and reinforcing the systems that allow our leaders to operate at a high level. A strong understanding of construction operations or previous experience in a construction‑adjacent environment is highly preferred, as this role will support executives across multiple entities and project timelines. What You Will Do
Executive Calendar & Time Management
Manage complex executive calendars with accuracy, intention, and proactive prioritization Implement and uphold structured daily/weekly time blocking for deep work, meetings, and travel Prepare daily and weekly schedules, agendas, and briefing materials Anticipate schedule conflicts, adjust commitments, and ensure the executive team stays ahead of all responsibilities Daily Executive Operations
Oversee reminders, follow‑up items, and executive priority lists Monitor incoming communication and identify what requires immediate attention Serve as the primary point of coordination for all internal communication with the Executive Team Maintain the workflows, systems, and checklists that support executive operational efficiency Meeting & Project Support
Prepare meeting materials, talking points, agendas, presentations, and briefing packets Capture decisions, action items, and follow‑up tasks, ensuring nothing slips through the cracks Track internal and external project timelines and provide regular updates to the executive team Support cross‑department coordination and communication Administrative & Operational Support
Coordinate detailed travel itineraries, reservations, and logistics Handle all confidential information with professionalism and discretion Support leadership meetings, special projects, internal events, and company initiatives Build strong relationships across all departments and serve as an extension of the executive team What You Will Bring
10+ years of Executive Assistant experience supporting C‑suite or senior leadership Experience in construction, development, or complex operational environments strongly preferred Proven success managing high‑volume, shifting calendars and priorities Exceptional communication, writing, organization, and problem‑solving abilities Ability to operate with urgency while maintaining exceptional accuracy High emotional intelligence, judgment, and interpersonal strength Mastery of Microsoft Office Suite and digital organization tools Experience with Procore, project scheduling, and construction workflows is a significant plus High school diploma required; degree preferred but not required Tools & Systems Experience (Preferred)
Procore or similar construction management platforms Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) Calendar and scheduling tools with advanced time‑blocking and prioritization Workflow, task management, or project tracking systems Work Environment
