We are hiring an experienced executive assistant to provide administrative support to senior leadership. This role reports to the Executive Administration Team Lead and is a member of a best‑in‑class administrative team who play a vital role in managing the day‑to‑day activities for our leaders and the organization. This role is based in Downers Grove, IL and requires in‑office 3+ days per week.

Responsibilities

Provide high level administrative support to VP level executives

Provide high level administrative support to members of executive leadership team

Maintain and coordinate complex calendar schedules

Coordinate travel (domestic and international) including flights, hotels and transportation needs

Expense report execution and completion

Execute heavy onsite meeting coordination including detailed meeting preparation

Proactive management of schedules and protecting the time of the executive and their team

Maintain a high level of confidentiality, professionalism and integrity across all levels of interaction

Manage special projects when requested that involve a high level of logistical thought

Liaison with EA Team Lead on executive related internal and external meetings, strategic initiatives and events as requested

Provide backup support to other executive assistants as needed for meetings and coverage as well as front desk coverage when needed

Experience

Associate or higher degree and 5+ years of administrative support including C‑Suite Executives

Demonstrates exceptional attention to detail in all tasks, ensuring accuracy and quality in every aspect of work

Forward thinking and ability to anticipate the needs of the leadership team

Experience in international and domestic travel coordination

Advanced calendaring skills; ability to manage multiple calendars at one time

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, TEAMS and CoPilot)

Glanbia provides a reasonable range of compensation for roles; the annual salary for this role is $75,000 - $95,000 plus an annual bonus. This range may not be applicable to other locations and targeted salary is midpoint of range. Factors that could be used to determine your actual salary may include your specific skills, years of experience and comparison to current employees already in this role.
