Job Summary
The Trauma Registrar Non‑Certified maintains the trauma registry in a timely fashion. The role is responsible for daily data entry of all ICD‑10, injury severity and procedure coding entered into the data registry and for providing reports to all Trauma Committees on a per‑request basis. The registrar also supplies data from the registry to the State Trauma Program, NTDB, and TQIP and ensures all QI data elements are captured.
Core Responsibilities
Data management: maintain data integrity, generate reports, and present data.
Knowledge of anatomy and conditions of injury.
Coding and scoring concepts: ICD‑10, ISS scoring, comorbidities, treatments, complications, medications, and TQIP process measures.
Registry oversight and maintenance: submit to NTDB, state requirements, and Erlanger Health System; perform quarterly uploads from V5 trauma registry to TQIP and the Tennessee Trauma data banks.
Perform weekly data validation reports, supervise additional Trauma Registrars, validate 5–10% of data entry, track inconsistencies, and provide feedback and education.
Act as resource, trainer, and mentor to Erlanger Health Systems employees, affiliates, and regional state institutions.
Assist in preparation and gathering of data for the ACS Pre‑Review Questionnaire and on‑site review process.
Maintain compliance with mission statement of Erlanger Health Systems, support Quality Improvement initiatives, and provide effective customer service/interpersonal skills at all times.
Must Master Four Basic Skill Sets
Data Management: data integrity, reports, and data presentation.
Anatomy and Conditions of Injury.
Coding and Scoring Concepts.
Registry Oversight and Maintenance: NTDB, state(s), and Erlanger Health System.
Additional Requirements
Maintain professional growth through seminars, workshops, and professional affiliations to stay current in the field.
Technical knowledge of hospital applications, data query software, spreadsheets, and report‑generating software.
Proficiency with Internet, Microsoft Office Word, Excel, PowerPoint, and Access.
Basic understanding of math and statistics.
Excellent written and verbal interpersonal skills, a positive customer‑relations philosophy, and the ability to communicate with physicians and other health care professionals.
Strong organizational, time‑management, communication skills, and attention to detail.
Knowledge and practice of confidentiality as it pertains to HIPAA and handling sensitive information for Erlanger Health Systems.
Self‑directed; able to work effectively with multiple interruptions and changing priorities; demonstrates initiative, creativity, and a highly detailed, team‑oriented approach.
Education
High School graduate; proficient in medical terminology.
Experience
Computer skills: experience with Excel and Word.
Preferred
Coding experience and previous database registry experience.
License/Certification / Registration
Must obtain the Association for the Advancement of Automotive Medicine (AAAM/AIS) Scoring Class and the Trauma Registrar Course through the American Trauma Society within one year of hire.

At a minimum, 80 percent of cases must be entered within 60 days of discharge. Quality of data is monitored and maintained (errors/edits should not exceed 7%). The registrar reviews updates, remains current on coding guidelines and follows the American College of Surgeons and Tennessee Trauma Registry standards. Additional duties include supporting the mission statement of Erlanger Health Systems, embracing Quality Improvement initiatives, providing customer service, supervising data entry, training staff, assisting with ACS verification preparation, maintaining safety protocols, and assisting the Erlanger Trauma Network registries as needed.
