Responsibilities Intake Coordinator - PRN Opportunity

Emerald Coast Behavioral Hospital provides inpatient treatment services to adolescents and adults at our 86‑bed facility in Panama City, FL, and outpatient services at three centers throughout the Florida Panhandle.

We also offer specialized treatment for active duty military members through our Military Resiliency Program, chemical‑dependency treatment, and TMS therapy for chronic depression.

The Intake Coordinator is responsible for coordinating aspects of the admissions process, including handling inquiry calls, processing referrals, interacting with referral sources and customers, insurance verification/pre‑certification, patient registration, vitals, wanding, patient observations, scheduling evaluations, admissions processing, bed‑board monitoring, belongings searches/inventorying, and other non‑clinical duties as assigned.

Act as liaison between families, departments, referral sources, agencies, schools, and other interested parties; ensure a safe, nurturing, clean, and supportive environment for patients, staff, and guests.

Assist with secure entrance into A&R using a metal detector and securing all belongings.

Assist in managing incoming calls, faxes, and referrals; perform clerical duties such as faxing, copying, filing, and collating; assist with basic housekeeping duties such as trash removal, sanitizing furniture, and sweeping floors.

Conduct telephone triage activities; receive inquiries and crisis calls, determine appropriate disposition for emergency services, conduct clinical crisis assessment, and refer to community resources or agencies. Maintain communication with callers during imminent risk crisis calls while accessing emergency medical or police services.

Maintain and complete all required forms, including telephone inquiry forms and logs; document all activities; collect updated insurance and financial information; enter data into computer databases.

Conduct patient rounds, report deviations from expectations and standards, recognize escalation, and take preventive steps to reduce restraint and seclusion; document patient behaviors, condition, and progress per policy and clinical standards; ensure patients’ nutrition needs are met.

Provide hands‑on physical care, supervision, crisis intervention, behavior management, and behavior modification as directed by individual treatment plans and unit program guidelines; employ appropriate verbal and crisis intervention techniques; assist patients with activities of daily living (ADLs) as needed.

Take and record vital signs, both manually and with equipment, and conduct periodic checks every 15 minutes.

Check patients for contraband, manage belongings, orient patients to facility procedures and standard practices, and maintain professional therapeutic boundaries with patients, families, and guests.

Qualifications

High‑school diploma or equivalent required; associate’s degree or vocational/technical school graduate preferred.

One year of health‑care experience, preferably in a mental‑health setting; acute behavioral‑health experience preferred.

Ability to work in a fast‑paced admissions department.

Ability to work 12‑hour shifts on an as‑needed basis.
