Position Overview The Marketing Coordinator – Proposals & Graphics is an early‑career role within the Marketing team, with a primary focus on supporting proposals, qualifications, and marketing books. Approximately 70% of this role will be focused on proposal coordination and production, with the remaining time supporting graphic layout, project marketing, and other marketing initiatives. While this is a career‑growth role, candidates with prior experience in proposals or professional services marketing are strongly encouraged to apply. This is a safety‑sensitive position.
Key Responsibilities – Proposals & Marketing Books
Assist with the preparation, layout, and production of proposals, qualifications, and marketing books
Coordinate proposal schedules, internal deadlines, and required inputs
Format resumes, project sheets, and technical narratives using established templates
Proofread and quality‑check proposal materials for accuracy, consistency, and brand alignment
Maintain and update proposal templates and content libraries
Graphics & Layout Support
Apply brand standards to proposals and marketing materials
Create and update layouts, cover pages, simple graphics, and infographics
Support design needs for OAC books, project logistics, and presentation materials
Work within established brand guidelines (execution‑focused, not brand development)
Project Marketing & Coordination
Coordinate project photography scheduling and organization
Maintain project imagery, renderings, and marketing assets
Support project teams with marketing deliverables and project‑specific materials
Assist with closeout marketing and internal documentation
Marketing Operations & Support
Help organize and maintain marketing databases (projects, resumes, photography, templates)
Support internal marketing requests and special initiatives
Assist with continuous improvement of marketing processes, tools, and workflows
Qualifications
Bachelor’s degree in Marketing, Communications, Graphic Design, or related field
0–4+ years of experience in marketing, proposals, or professional services (construction/AEC a plus)
Working knowledge of Adobe InDesign, Illustrator and Photoshop
Strong attention to detail and organizational skills
Ability to manage multiple deadlines in a fast‑paced environment
Strong communication skills and willingness to learn
