About the Organization
The American Song Archives (ASA) in Tulsa, Oklahoma is the home of the archives of Bob Dylan, Woody Guthrie, Phil Ochs, Tom Paxton, Cynthia Gooding and many other archival and library collections. The ASA welcomes visitors from around the world to the Woody Guthrie Center and Bob Dylan Center—located in Tulsa’s vibrant Arts District and adjacent to the historic Greenwood District—and hosts academics and writers who utilize the archives for scholarly research.
Position Purpose The Education and Merchandising Coordinator will assist with education and merchandising needs for ASA. They will work independently as well as with team members to engage with students, fulfill merchandise orders and provide general support for the education and gift shop. In addition, the Education and Merchandising Coordinate will partner with their manager to define, plan and execute Education and Merchandising strategies. The Coordinator will be responsible for field trips and the growth of these student visits.
Responsibilities / Essential Duties
Fulfill online orders for Woody Guthrie Center and Bob Dylan Center packing from inventory and coordinating pick up from UPS, USPS, FedEx, etc.
Manage online shop email, responding to all customer correspondence in a timely manner
Count and receive new products, deliveries and transfers into the inventory
Access the off-site storage unit for transferring low stock items
Create quarterly low stock reports for future purchasing
Facilitate in bi-annual inventory counts
Direct field trip protocol with teachers to schedule and confirm booking of field trips including coordinating with cross functional team mates
Prepare educational packets for teachers and students
Welcome school groups upon arrival for field trips
Lead tours and activities
Supervise students during their visit
Provide support to teachers and chaperones, addressing any questions or needs during their visit
Collect and compile feedback from teachers
Communicate with educators, community members to provide information about upcoming programs and events
Identify opportunities and partners to expand community outreach
Assist in promoting education programs at community events
Assist in preparation and execution of educational programming, workshops and events
Occasionally facilitate educational activities and tours for school groups, families and other audiences under the guidance of the Education Manager
Assist in afterschool programming offsite
Other duties as assigned
Requirements Education and Experience
At least 2 years relevant work experience in education/childcare or customer service
Knowledge in the use of Microsoft Office Suite and retail management software (Shopify, etc)
Skills and Abilities
Strong communication and organizational skills
Ability to work collaboratively and independently
Previous experience in education, preferred
Flexible schedule, including availably events and weekends
Ability to travel off-site
Strong interpersonal skills
Comfortable with public speaking
Previous retail experience, preferred
Ability to lead singalongs and instrument instruction, preferred
Strong organizational skills with ability to manage and prioritize multiple tasks while meeting tight deadlines and maintaining attention to details
Proficiency with both Mac and PC operating systems
Social sensitivity and ability to build internal relationships and communicate realistic solutions to stakeholders/customers
Physical requirements
This position requires frequent standing, walking and lifting equipment for set-up
Ability to sit or stand for long periods of time
Ability to lift 60 pounds
Hours and Location
This is a Part-Time & In-Person position based in Tulsa, Oklahoma
Typical hours vary, Monday – Friday as scheduled
The work week will occasionally vary with advance notice depending on scheduled programming and other events; may require evening or weekend hours for special events or tours
Travel may be required
Salary
The starting rate for this position is anticipated to be $19.00 to $19.25 per hour. The ultimate offering will be dependent upon prior education, experience, and job related skills.
