GENERAL POSITION OVERVIEW The Inbound Operations Coordinator is responsible for managing and coordinating inbound logistics, customer service, and documentation processes to ensure efficient and accurate operations. The role involves overseeing traffic coordination, idling prevention and monitoring, providing exceptional customer service, and handling documentation tasks and cargo diversions. Responsibilities include working collaboratively across departments to streamline processes, resolve issues, and maintain high standards of accuracy and customer satisfaction.

Responsible for the continental United States, including ocean facilities on the West Coast: Tacoma, Seattle, Portland, Oakland, Los Angeles and Long Beach.

ESSENTIAL JOB FUNCTIONS/DUTIES

Coordinate and monitor inbound logistics, including scheduling, tracking, and managing transportation activities to ensure timely delivery of goods.

Provide high‑quality customer service by addressing inquiries, resolving complaints, and maintaining clear communication with internal and external partners.

Prepare, verify, and process documentation related to corrections and inquiries for inbound shipments, ensuring compliance with regulatory and organizational requirements.

Initiate and oversee the submission of customs manifests to U.S. Customs and Border Protection, ensuring accuracy and resolving rejections within the same business day.

Collaborate with customers, carriers, and internal teams to optimize logistics workflows and resolve issues promptly.

Maintain accurate records and data entry for shipments, customer interactions, and documentation processes.

Monitor and report on key performance metrics related to inbound operations, customer satisfaction, and documentation accuracy.

Ensure compliant release of Free Trade Zone (FTZ) cargo, adhering to regulatory standards.

Monitor and manage VIP reefer and live fish cargo to maintain quality and compliance.

Communicate special free‑time allowances to discharging ports efficiently.

Process diversion requests for KOA customers with accuracy and speed.

Resolve container damage issues, coordinating with vendors for drayage, rework, or transloading to ensure delivery.

Authorize container repairs in collaboration with Maintenance & Repair (M&R) teams and management.

Trace and rebill damages to ensure accurate cost recovery.

Support empty reposition process from Canada to Tacoma, WA.

Responsible for management of email, call, and chat support queues.

Perform additional duties as assigned.

QUALIFICATIONS

General understanding of the transportation shipping industry.

Work effectively under limited supervision and prioritize workload.

Excellent computer skills and knowledge of MS Office programs such as Outlook, Word, and Excel.

Able to multitask and handle information accurately and professionally.

Excellent phone, email etiquette.

Excellent verbal and written communication skills.

EDUCATION AND EXPERIENCE

High School diploma or GED required; college degree preferred but not required.

Prior industry experience preferred but not required.

ENVIRONMENT / EQUIPMENT / PHYSICAL DEMANDS

Work performed in an office environment with moderate noise level; regularly required to stand, sit, walk around the office, and work at a computer.

Occasionally required to use force to lift, push, and pull up to 20 pounds.

ADDITIONAL DETAILS The pay range listed for this position is the anticipated starting salary or wage range. The final offered rate will be based on individual merit and the relative compensation of employees in similar positions.
