Job Summary UCAR seeks a Maintenance Administrator II to partner with the Maintenance Operations Manager, shape department standards, drive operational excellence, and serve as the manager’s primary backup. The role ensures compliance, owns budget development, and manages daily operations including procurement and CMMS activities.
Key Responsibilities
Serve as primary purchasing agent, initiating approvals, managing P‑cards, processing invoices, and overseeing expense reports.
Train staff on purchasing policies and participate in RFI, RFQ, and RFP processes.
Prepare and present quarterly and annual expense analysis reports; track monthly interdepartmental chargebacks.
Support annual budget planning with procurement data and recommendations.
Manage the department’s Computerized Maintenance Management System (CMMS): receive, categorize, assign, and follow up work requests.
Develop preventive maintenance schedules and maintain equipment information in the CMMS.
Extract and analyze CMMS data to produce quarterly KPIs, annual operating reports, and presentations.
Collaborate with Facilities Management Business Applications on system maintenance and updates.
Direct daily operational activities, allocate resources, and coordinate procurement.
Manage department property management program and accountability systems.
Collaborate with the Manager to develop, review, and amend operating plans.
Review and update department policies and emergency operating plans.
Implement HR policies, forecast staffing, coordinate training, and serve as point person for hiring.
Participate in performance evaluations and professional development planning.
Supervise administrative assistant personnel, temporary labor, and student assistants.
Act as department lead and assume administrative responsibility when the Manager is unavailable.
Contribute to strategic decisions, develop SOPs, and lead programmatic changes.
Provide feedback on program performance and overall department health.
Qualifications
Bachelor’s degree in a relevant discipline.
5 years of relevant experience or equivalent education and experience.
Familiarity with Facilities Management programs.
Proficiency with MS Office, Google Workspace, and CMMS or similar systems.
Experience with budget development, financial analysis, cost control, and project accounting.
Strong written and verbal communication skills.
Ability to apply organizational policies confidently and effectively.
Proficiency with spreadsheet, database, and accounting/reporting systems.
Knowledge of administrative functions: budget management, facilities planning, procurement, staffing.
Confidentiality and discretion in handling sensitive information.
Knowledge of facilities trades and contractor management.
Strong organizational and prioritization skills.
Preferred: Project Management certification, 4+ years in contract and financial management, custodial program experience, knowledge of UCAR policies, government contract requirements, basic statistics and data analysis.
