RHA Business Office Coordinator
Position Summary Coordinates and provides administrative support to the Residence Halls Association (RHA) overseeing and managing operational activities of the program. Manages general business operations by assisting students with policies and operating practices of RHA resources.
Characteristic Duties and Responsibilities
Plans, applies, interprets, and communicates policies, procedures, and resources of the Residence Halls Association (RHA) program to assist students and provide potential solutions within the Division of Student Affairs and the University.
Establishes and maintains internal and financial accounts and related business records of transactional situations, including but not limited to reconciliation of ledgers, annual tax spending spreadsheets, running financial reports and statements from EBS, and processes tax refunds.
Oversees financial data/record keeping regarding the RHA program using MSU’s financial systems.
Reviews FIN049, manages all accounts for students for resources being utilized, identifies inaccuracies of accounts, prepares invoices, deposits, and funding statements for the Division of Student Affairs Business Financial Services for review in accordance with the university business manual.
Participates in cross‑functional programs to achieve unit goals.
Responsible for sharing information regarding hiring between RHS HR & RHA Leadership.
Maintains employee confidentiality throughout appropriate business processes and uses discretion in communicating sensitive information within the Division of Student Affairs, the University and outside stakeholders.
Communicates with RHA leadership to assist with understanding MSU/RHA policies as they relate to purchasing and reimbursements.
Oversees operational/processing expertise for assigned tasks to solve business problems regarding RHA business operations.
Researches and answers questions about RHA‑sponsored events and other questions pertaining to the operation of the office.
Collects, analyzes, and synthesizes data for RHA using systematic methods such as research, surveys, focus groups, and other fact‑finding methods to identify best practices.
Serves as a team/group lead for organizational initiatives and projects.
Proficient with Microsoft Office Suite and maintains electronic documents & storage.
Other duties as assigned.
Responsibilities for the Work of Others
Lead worker over student, temporary and on‑call employees.
Work Environment Standard office environment. The job requires moderate physical effort and involves sitting, viewing a computer screen and/or word processing, spreadsheet development, using data analytic and/or presentation software 26‑75% of the time.
Minimum Requirements Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or a business‑related field; six months to one year of related and progressively more responsible or expansive work experience in customer service or in office procedures, including word processing, database, spreadsheet, presentation software and/or desktop publishing; or an equivalent combination of education and experience.
Desired Qualifications
Strong written and oral communication skills.
Maintain conduct and perform job duties within guidelines and requirements of RHA.
Maintains current knowledge of codes, policies and procedures of RHA & MSU.
Understanding and working knowledge of a wide variety of accounting documents, methods and procedures.
Ability to maintain and discern accounting records in an orderly and accurate manner.
General knowledge of GAAP.
Have ability to exercise tact and discretion with others.
Working knowledge of budgets and budget process.
Working knowledge of electronic accounting software packages.
Ability to exhibit behavior and conduct reflecting the mission of RHA.
