Job Title: Executive Assistant to the CEO

Location: New York City (NYC)

Role Overview

We are seeking a highly organized, proactive Executive Assistant to the CEO to support a fast-growing, founder-led organization. This is a high-trust, high-impact role responsible for managing the CEO’s calendar, travel, logistics, recruiting coordination, and day-to-day operational support.

The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, adapts quickly to changing priorities, and handles both professional and occasional personal tasks with the utmost discretion and professionalism.

Key Responsibilities

Executive & Administrative Support

  • Manage, prioritize, and optimize the CEO’s calendar, including scheduling, rescheduling, and preparing for meetings
  • Coordinate domestic and international travel for the CEO, including airfare, lodging, ground transportation, and itineraries
  • Anticipate and manage last-minute changes to schedules and travel plans

Travel & Logistics Coordination

  • Coordinate airfare and lodging for company employees as needed
  • Optimize travel arrangements for cost efficiency and time management
  • Manage shipping, deliveries, and order tracking

Office & Operational Support

  • Order office supplies and ensure the office is appropriately stocked
  • Support hospitality needs, including gifting, handwritten notes, and shipments

People & Recruiting Support

  • Assist with recruiting outreach, interview scheduling, and candidate coordination
  • Support employee onboarding activities, including equipment ordering and onboarding instructions

What You’ll Bring

  • 3+ years of experience supporting a senior executive, founder, or CEO
  • Exceptional organizational skills, attention to detail, and follow-through
  • Strong written and verbal communication skills
  • High level of discretion when handling confidential and sensitive information
  • Comfort operating in a fast-paced, dynamic, and evolving environment
  • Tech-savvy, highly responsive, and comfortable managing multiple priorities simultaneously
