The Claims Manager is responsible for managing and processing insurance claims, including Workers' Compensation, General Liability, and Garage Keepers policies, while ensuring compliance with regulatory and legal requirements. This role collaborates with Operations, Legal, and HR to report incidents, document claims, respond to regulatory and legal demands, and minimize business disruption, financial exposure, and safety risks in a tunnel car wash environment.
Essential Functions (Other Duties as Assigned
- Manage and track all insurance claims related to Workers Compensation, General Liability, and Garage Keepers insurance, ensuring accurate and timely processing.
- Act as the primary liaison between internal teams (Operations, Legal, HR), third-party administrators (TPAs), insurance brokers, and carriers.
- Investigate and document claim events thoroughly, collecting statements, surveillance footage, site photos, and other evidence to support claims and comply with OSHA and state regulations.
- Ensure timely and compliant reporting of incidents to insurance carriers, regulatory agencies (e.g., OSHA, state workers comp boards), and legal entities as required.
- Respond to regulatory requests (e.g., OSHA inspections, state compliance audits) and legal demands (e.g., subpoenas, litigation support) with accurate documentation and timely communication.
- Monitor claim progress, advocate for fair resolutions, and minimize financial and legal risks to the organization.
- Analyze claim data to identify trends, root causes, and opportunities for risk prevention, sharing insights with the Risk Management team.
- Train and guide field employees on incident reporting, safety protocols, and risk mitigation practices to align with OSHA standards and company policies.
- Maintain a secure, organized database of claim files, regulatory correspondence, legal documents, and outcomes.
- Support audits by regulatory bodies or legal counsel, providing required documentation and ensuring compliance with federal, state, and local regulations.
Education and Experience
- Bachelors degree in business administration, Risk Management, Insurance, or a related field preferred.
- 3+ years of experience handling insurance claims, preferably in a multi-site service or retail environment.
- Experience with Workers Compensation, General Liability, and Garage Keepers coverage is highly desirable.
- Familiarity with regulatory compliance (e.g., OSHA, state workers comp) and responding to legal demands is a plus.
- Experience working with TPAs and insurance carriers in a fast-paced environment.
Knowledge, Skills, and Abilities
- Strong knowledge of insurance policies, claims procedures, risk management principles, and OSHA regulations.
- Excellent organizational and documentation skills to manage claims, regulatory requests, and legal correspondence.
- Ability to prioritize and handle multiple claims, regulatory inquiries, and legal demands with urgency and accuracy.
- Strong communication and negotiation skills for engaging with internal teams, regulators, insurers, and legal professionals.
- Proficiency in Microsoft Office Suite; experience with claims management or compliance software is a plus.
- Analytical and problem-solving skills to assess claim trends and regulatory risks.
- Familiarity with federal and state regulations, including OSHA standards, workers compensation laws, and legal documentation requirements.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional travel to field locations to conduct site reviews or gather evidence.
- Must be able to lift up to 15 pounds.
- Travel requirements at minimum 10%
