Position Summary:
The Administrative Assistant will work directly with multiple executives and will be responsible for performing a number of administrative duties. The successful candidate will provide a wide range of high-level administrative support to company executives by coordinating communications, scheduling meetings, and managing itineraries across multiple departments. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.
Tasks/Duties/Responsibilities:
Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
Prepare internal and external corporate documents for team members and industry partners
Schedule meetings and appointments and manage travel itineraries
Ensure senior leaders are prepared with all materials and information for meetings and events
Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events
Maintain an organized filing system of paper and electronic documents
Uphold a strict level of confidentiality
Develop and sustain a level of professionalism among staff and customers
Knowledge/Skills/Requirements:
2-year degree strongly preferred
Minimum of 1+ year(s) of experience as an Administrative or Executive Assistant reporting directly to senior management or senior administrative assistant or equivalent experience
Advanced Microsoft Office skills, with an ability to become familiar with site-specific programs and software
Proficiency in collaboration and delegation of duties
Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
Exceptional interpersonal skills
Friendly, courteous and professional demeanor
Strong sense of urgency, adaptability, flexibility and resourcefulness
Ability to work well with all levels of internal management and staff, outside clients and vendors
Demonstrated business communications skills (oral and written)
