Administrative Assistant – SI | Support. Organize. Power the Future of AV Systems. We’re seeking an Administrative Assistant with strong organizational skills, exceptional communication abilities, and a sharp attention to detail. In this role, you’ll be the operational heartbeat of our Install & Service Department—supporting scheduling, service coordination, purchasing, data entry, and customer communication. What You’ll Be Doing Customer Support – Receive and route incoming calls and emails for new, warranty, and non-warranty service requests Scheduling & Coordination – Schedule monthly and annual maintenance tasks, assign labor, and support daily coordination for the install and service teams Purchasing Support – Assist with ordering materials and equipment needed for service calls and maintenance contracts Reporting & Documentation – Prepare service estimates, daily service logs, timekeeping logs, and other departmental reports Systems & Data Entry – Enter and maintain accurate data in CRM, ERP, SharePoint, and other software platforms RMA Management – Arrange RMAs and manage equipment returns between clients and vendors Interdepartmental Support – Interface with Accounts Payable, Purchasing, and other departments as needed PO & Billing Support – Generate purchase orders for contract labor, customer billing, vendor setup, and job setup Additional Duties – Assist with other administrative projects and tasks as assigned Skills and Knowledge Strong business acumen and professional communication skills Excellent time management and prioritization abilities Detail-oriented and highly organized Ability to problem-solve and make decisions in a fast-paced environment Experience supporting office operations or service-based workflows High school diploma or equivalent Minimum 3+ years in a fast-paced or administrative environment Benefits PTO, medical/dental/vision insurance, 401(k), FSA, and more Qualities Meaningful Impact – Your work keeps our service and installation engine running Team-Driven Culture – Collaborate with talented technicians, engineers, and operations staff Growth & Stability – Build a long-term career in a growing technology organization Equal Opportunity LMGSI is a Tobacco-Free and Drug-Free workplace and an Equal Opportunity Employer.
