Your Contribution: Provide the highest quality support services to veterans Participate in facility meetings, training sessions, and the implementation of the Arizona Management System (AMS) to achieve continuous improvement and efficiency Use and develop your potential within a supportive team environment Coordinates and completes a wide variety of administrative support and secretarial functions, anticipating the needs of the Administrator and the Director of Nursing Handles sensitive issues tactfully and discretely while maintaining confidentiality Composes responses to routine correspondence Prepares confidential correspondence and handles other confidential matters Prepares a variety of reports Creates and maintains administrative file systems and records Maintains records for survey purposes Prepares agendas, attends meetings, take and transcribe minutes Conducts research and completes special projects to support the direct reports of the Administrator Orders office supplies and other items Assists in the recruitment process Schedules interviews and conducts reference checks/employment history verifications, and prepares hiring packets Maintains appointment calendar for the Administrator and the Director of Nursing Schedules conference rooms for internal and external use Coordinates training sessions and administrative meetings. Completes special projects as assigned by the Administrator or the Director of Nursing Receives and routes correspondence to appropriate staff for action Maintains a filing system to ensure that responses meet established deadlines Answers telephones, takes messages and responds to routine inquiries and requests Knowledge of: Rules, policies, procedures of section and work unit Personnel Rules Complex secretarial functions Data gathering and summarization methods and techniques Project management Report preparation Knowledge of problem-solving techniques Safeguards for protecting confidential data Skills: Verbal and written communicationli> Customer service skills Problem-solving skills Organization and time management skills Attention to detail Computer skills Abilities: To anticipate the needs of the Administrator and the Director of Nursing To prioritize business items for the attention of the Administrator and the Director of Nursing To take and transcribe minutes To prepare a variety of correspondences, logs, reports, presentations etc. Previous experience providing administrative support to an executive leader This position requires the ability to drive on State business. Requires possession of and ability to retain a current, valid state-issued driver's license appropriate to the assignment. Employees who drive on State business are subject to driver's license record checks, must maintain acceptable driving records and must complete any required driver training (see A.AC. R2-10-207.11). If this position requires driving or the use of a vehicle as an essential function of the job to conduct State business, then the following requirements apply: Driver’s License Requirements.
