Personal Assistant / Business Manager to CEO (Los Angeles, On-Site) We’re a leading legal recruiting company serving Am Law firms, elite boutiques, and in-house legal departments nationwide. Our CEO is seeking a high‑capacity Personal Assistant/Business Manager to assist him—anticipating needs, organizing complexity, and ensuring priorities get executed flawlessly.

Role You’ll serve as the CEO’s right hand—part strategic operator, part executive assistant—owning critical admin, projects, and follow‑through across the business and personal domains.

What You’ll Do

Executive Operations: Manage complex calendars, priorities, deadlines, and gatekeeping; prepare briefs and talking points for meetings, calls, and podcasts/webinars.

Project & Process Management: Drive initiatives end‑to‑end (e.g., marketing campaigns, events, research projects, vendor rollouts); create SOPs and keep teams on task (Asana/Monday.com/Notion).

Hiring & Recruiting Support: Coordinate interviews, prepare candidate packets, keep CRM/ATS up to date, follow up with firms and candidates.

Client & Partner Communication: Draft high‑quality emails, proposals, and follow‑ups; maintain immaculate written communication in the CEO’s voice.

Finance & Admin: Light bookkeeping (QuickBooks/Expensify), vendor management, renewals, invoices, reimbursements, confidentiality docs, and contract tracking.

Content & Research: Pull market data, compile reports, proof/ edit articles and scripts, coordinate social posts/newsletters as needed.

Personal Support: Errands, household/vendor coordination, vehicle/service logistics—protecting the CEO’s time and attention.

What Makes You a Fit

5–10+ years in a high‑intensity EA/Chief-of-Staff/Business Manager role (founder/CEO support preferred).

Operational rigor: You build checklists, timelines, and systems—and you finish.

Bias for action: You don’t wait for instructions; you anticipate and solve.

Discretion & EQ: Handle sensitive information and relationships with absolute confidentiality.

Tools fluency: Google Workspace, Microsoft Office, Slack, Zoom, Notion/Asana/Monday.com, QuickBooks/Expensify; CRM/ATS familiarity a plus.

Local & mobile: Based in LA, valid driver’s license, comfortable with occasional after‑hours needs.

Nice to Have

Background in legal, recruiting, executive search, or professional services.

Experience drafting content in an executive’s voice (emails, memos, social).
