The Accounts Payable Specialist is responsible for managing day-to-day accounts payable operations for a multi-location organization. This role plays a key part in supporting accurate financial records, maintaining positive vendor relationships, and ensuring timely processing of invoices and payments. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

Manage daily accounts payable functions, including processing invoices from vendors and suppliers

Ensure accurate and timely payment of invoices and scheduled disbursements

Match invoices to purchase orders and receiving documentation, as applicable

Prepare and process check runs and electronic payments

Set up and maintain vendor accounts, including verification of required documentation

Maintain well-organized and accurate accounts payable records

Act as a primary point of contact for vendors regarding invoices, payments, and account inquiries

Partner with internal teams across multiple locations to resolve invoice discrepancies

Build and maintain strong vendor relationships through clear and professional communication

Reconcile vendor statements and assist with month-end close activities related to accounts payable

Prepare accounts payable reports and schedules as requested

Support internal and external audit requests with appropriate documentation

Identify opportunities to improve accounts payable processes and efficiencies

Handle sensitive financial information with confidentiality and professionalism

Perform additional accounting or administrative duties as assigned

Qualifications

Required:

Prior experience in accounts payable or general accounting

Strong attention to detail and accuracy

Ability to manage competing deadlines and prioritize effectively

Proficiency with Microsoft Excel and other Microsoft Office applications

Excellent organizational, time-management, and communication skills

Ability to work collaboratively in a team-oriented environment

Preferred:

Bachelor’s degree in accounting, finance, or a related field

Experience working with accounting software or ERP systems

Experience supporting a multi-location or operationally complex organization
