Closing Associate - In Oakland Office M-F Job Status: Regular Full-Time (Non-Exempt) Job Summary The Closing Associate supports the Closing Department by providing essential administrative and operational assistance to ensure loan files comply with SBA requirements and meet closing, submission, and funding deadlines. This role is vital in delivering exceptional customer service and building strong relationships with TMC clients, attorneys, lenders, and title and escrow contacts.
Responsibilities
Reviewing new files in Closing.
Preparing and managing documents.
Coordinating communication with internal and external parties.
Organizing and tracking tasks to ensure timely processing.
Handling incoming and outgoing mail.
Reviewing submissions and preparing CSAs.
Closing Support & Documentation Management
Work alongside the Closing Officer to ensure files transferred to the Closing Department meet all requirements.
Audit all platforms and note any missing/pending items for the Closer.
Review entity documentation, pull current information listed on state SOS.
Communicate with lenders and escrow officers to ensure close of escrow deadlines are met.
Monitor and update Box with documents Closers provide such as recorded Reconveyances.
Closing Packages & File Reviews
Prepare and submit closing packages under the Streamlined Closing Procedures, ensuring accuracy and completeness.
Work with attorneys and district counsel to resolve discrepancies and submit responses.
Assist in managing and auditing Complete File Reviews (CFR) for SBA compliance, ensuring missing items are collected.
Customer Service & Communication
Act as a liaison between Closing Attorneys and their staff. Assist in questions from our partners at SBA, Guidehouse and CSA.
Answer questions regarding the closing process and documentation requirements.
CSA & Loan Funding
Prepare and review CSA documents for each loan funding, ensuring accuracy and timely submission.
Follow up on CSA alerts and notifications to ensure timely loan funding.
Work with the Accounting Department to confirm lender participation fee payments.
Track and confirm debenture funding with CSA.
Update the digital and physical files on each loan with documents and clearances.
Prepare collateral and custody files for submission to SBA Service Centers.
Track sent and received checklists to ensure proper documentation handling.
Process and follow up on reconveyances of 504 interim loans.
Administrative & Compliance Support
Manage ACH data entry and wire confirmation emails.
Process tax service requests and ensure compliance.
Process and file incoming and outgoing mail received in the Oakland office.
Scan and upload documentation to online platforms, noting missing items and ensuring accuracy.
Assist with various administrative tasks, such as obtaining signatures, filing, faxing, scanning, generating FedEx labels, and creating templates/forms as needed.
Provide backup support for phone and front desk operations as needed.
Attend training sessions regularly to stay updated on changes to forms and procedures.
Qualifications
Bachelor's degree from a four-year college or university and 2-4 years of related experience; or equivalent combination of education and experience.
Knowledge of SBA loan documentation procedures, CDC experience, SBA experience, and/or commercial real estate lending experience highly recommended.
Notary certification and working knowledge of CRM databases preferred (Salesforce, BOX, Ventures a plus).
Excellent time management and project management skills, with the ability to track and manage details for multiple clients and projects in a fast-paced environment.
Strong attention to detail without compromising deadlines or focus.
Exceptional written and verbal communication skills, including professional email etiquette.
Strong problem-solving abilities and ability to work independently.
Ability to interact and collaborate effectively with diverse personality types and organizational levels.
Proficiency in MS Office applications, including Word, Excel, PowerPoint, and Outlook.
Pay starts at $29.00 plus incentive and bonus.
