Base Pay $20.40/hr – $30.60/hr
Major Responsibilities
Creates the initial electronic health record that serves as the foundation of the patient medical record utilized by all members of the healthcare team, prevents duplicate records, and ensures compliance with accreditation and patient identification mandates.
Checks in and registers patients, obtains and verifies complete demographic, guarantor, and insurance information, and discusses and collects co‑pays and other out‑of‑pocket responsibilities, ensuring timely payment and preventing billing issues.
Demonstrates knowledge of insurance basics, commercial and government plans, and the organization’s contracts; discusses financial information and obligations with patients and refers them to Financial Advocates as needed.
Enforces rules, forms, and questions to maintain compliance with HIPAA, EMTALA, consent for treatment, patient rights, Medicare notices, and other regulatory requirements, and obtains required signatures.
Schedules and coordinates patient appointments, cancellations, reschedules, wait lists, and recall requests, and provides detailed information regarding test preparations, arrival times, medication/food guidelines, check‑in procedures, directions, and other instructions.
Provides welcoming and professional customer service, greets patients and visitors, screens telephone calls, takes messages, and offers assistance such as arranging transportation, locating wheelchairs, and coordinating interpreter services.
Monitors and works assigned electronic health record queues, following approved departmental processes.

Understanding of basic medical and insurance terms and abbreviations used in scheduling and registration.
HIPAA‑compliance and knowledge of applicable state and federal regulations.
General knowledge of Medicare, Medicaid, managed care, and commercial payers; articulate regulations and updates on pre‑certification.
Excellent organizational skills.
Ability to act as a resource to other staff.
Physical Requirements and Working Conditions
Travel may be required, exposing to weather and road conditions.
Respond quickly to patient medical status and emergency situations in clerical areas.
CPR certification may be required based on service location.
Notary training/license may be required as appropriate.
Operate all necessary equipment.
Normal office environment with significant patient and public contact; may be exposed to ill or contagious patients.
Transition from sitting to standing frequently; stand and sit for extended periods; be physically mobile during the workday.
Lift up to 10 lbs. regularly, occasionally 20 lbs. or more, and push/pull up to 50 lbs. with assistance; may involve moving equipment or supplies.
Escort patients to nursing units or outpatient departments as necessary.
Employ sensory requirements: vision, hearing, and touch; speak clearly.
Use hands with fine motor skills for keyboard data entry.
May be asked to work a flexible schedule at times to meet department needs.
